**Job summary**:
This is your opportunity to work as the Executive Assistant to the Commandant, Deputy Commandant and Director of Faculty for National Security at the Royal College of Defence Studies - the most senior college in the UK Defence Academy, right in the heart of London. Reporting directly to the Chief of Staff, this Executive Assistant role will provide essential support to the three principals, managing their time efficiently, prioritising workloads, and helping organise College functions and activities, as well as engaging and communicating with the wider College.
Located in Seaford House, Belgrave Square, you will also have contact with the wider MOD, as well as other Government Departments, and national and international stakeholders.
**Job description**:
This is a busy but rewarding role at the very centre of the College. You will need to be organised, proactive and flexible, providing full secretarial and administration support to the SCS2 Commandant, Deputy Commandant and Faculty Director by way of managing their diaries; inbox management; organising meetings; acting as Secretary to the quarterly Management Board; and responding to the various other ad hoc duties arising in a busy adult education institution. You must be able to prioritise effectively, as well as be able to build effective working relationships with colleagues, outer offices and multiple other stakeholders.
Your main day to day responsibilities will be (but are not limited) to:
Maintain the professional diaries for the Commandant, Deputy Commandant and Faculty Director;
Prepare and despatch correspondence on behalf of the principals;
Prepare relevant paperwork and documents for College meetings; also to take and produce minutes for key College meetings (incl. Management Board);
Arrange meetings and events (both internally and externally);
Monitor telephone calls and deal with issues;
Organise daily lunch requirements for visiting lecturers, the Commandant and course members, as part of formal hosting requirements; also coordinate hospitality for College functions;
Maintain an appropriate ‘Bring Up’ system to track tasks;
Administrative support relating to RCDS Course Members;
Choreography of inward Defence Engagement;
Any other ad hoc tasks as required by line management.
You may also be called upon to help oversee the delivery of occasional evening functions (circa one per term).
Since you will be the focal point for the most senior College officers, so you are likely to be experienced in corporate administration and support. We are looking for someone who can work across team boundaries, who can multi-task, and who will bring dedication, flexibility, agility and tenacity to this high tempo outer office role.
