Administration Support Officer

The Clinical Engineering Department at the Royal Glamorgan Hospital, Llantrisant currently has a vacancy for an Administration Support Officer to provide clerical support to technical staff running the service.
The department delivers medical equipment management services across the health board, which involves the service, repair, acceptance testing and decommissioning of equipment, with the post holder providing administrative support for the ordering and receipting of spare parts, new equipment and maintenance contracts, updating contract and equipment records and general reception and administrative duties as required.
Possession of excellent customer services skills are therefore essential for this role.
The position is part time and can be flexible around the days to be worked. Occasionally there may be a requirement to attend Prince Charles Hospital to support their team should the need arise to cover absences.
To be the main point of contact with visitors and guests to the department by telephone and in person and to deal with enquiries wherever possible communicating complex information using tact and persuasion when required.
The post requires excellent communication and customer care skills and a good telephone manner. Good general standard of education and NVQ Level 3 in Business Administration or equivalent level of skills and knowledge gained through experience.
Knowledge and experience of general administration and office procedures is required.
Provide a full administrative service, carrying out word processing of letters, documents, reports and presentations utilising software such as Microsoft Outlook, Word, Excel and Edge.
Will use various health board software packages in the course of their duty, such as recording of jobs for medical equipment, and stock/parts ordering and distribution.
The ability to use the NHS Wales Oracle procurement system would also be an advantage.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Place orders for goods and/or services, take receipt of goods, deal with invoices/delivery notes as per procedures. Will also deal with any invoicing/delivery queries in relation to orders placed,
Data input and retrieval of information on established Health Board databases and software systems.
Record equipment parts deliveries on the departmental stock control system and place in the appropriate storage area, updating electronic systems appropriately.
Assist with the equipment library service including the collection, return and booking of items.
