This role is known internally as 'Membership Departmental Administrator and Secretariate for the Armed Forces Committees’

**What you’ll be doing**

As the Departmental Administrator, you’ll provide administrative support and communication to a large membership department and their external stakeholders. In this varied role you’ll also provide secretariat support to the PEI Defence Steering Group andCommittee, which involves minute taking for senior stakeholders in the armed forces and supporting the Partnership Communications Manager with various communications related events and publications.

Further departmental support includes providing cover for our reception during occasional lunch breaks and periods of annual leave.

**A little more about the role**
- Provide support to the Head of Membership and deputise for the Director of Membership and Professional Development’s (MPD) Personal Assistant (PA) in their absence.
- To coordinate the administrative support across the Membership Department.
- To maintain, monitor, collate and report individual team budgets, expenses, training records and the Job Description register within the Membership Department.
- To monitor, collate and record all departmental overtime and expenses claims for the Head of Department to review and approve on request.
- To arrange all relevant travel and accommodation bookings for department.
- To raise department Purchase Orders.
- To provide secretariat support to the PEI Defence Steering Group and Committee.
- To manage the PEI Churchill Medal Award administration and assessment process
- To provide support to the MPD Director’s PA at MPD Board Meetings.
- Maintain and control Membership Department literature and stock levels.
- To coordinate ad-hoc in-house departmental projects as detailed by the Head of Department
- To attend external meetings and events as required.
- Work with the Partnership Communications Manager to call for, collate, edit and produce content for communications including Partner News and bespoke Partner communications.
- Work with the Partnership Communications Manager to plan, facilitate and manage all Membership events.
- Produce bi-monthly newsletters for each Partnership community, working with product owners and stakeholders to gather information for each issue;
- Maintain several inboxes - filtering all communications to the relevant team or individual
- Provide reception cover when concierge team are at lunch or on Annual Leave

- Excellent customer service skills
- Experience of the budget and management accounts processes
- Strong IT skills - experience using Microsoft Office packages
- Minute taking experience
- Willingness to travel occasionally
