**Job summary**
The post holder is responsible for keeping accurate attendance records and is expected to contribute to workforce planning. The role will require the Senior Booking Officer to act as the key trainer to new starters
within the team and act as a mentor.
The post holder will also be involved in achieving divisional workforce and Temporary Staffing objectives and improving staff engagement and workforce key performance indicators in their assigned areas. The role requires working at a supervisory level tobe engaged in the provision of a customer focused Temporary Staffing service and the development of improvement plans. The Senior Booking Officer will support the Temporary Staffing Managers to achieve deliverable effective objectives for the divisions withparticular reference difficult to recruit to roles, driving down agency reliance and spend and supporting innovation against recruitment challenges. The role will support ongoing recruitment activity.
The post holder will be required to participate on the On-call Rota (further details will be supplied)
**Key Responsibilities**:
- To provide advice to Clinical Directorates and Corporate Services advising and implementing best practice for recruitment of temporary staffing solutions.
- To actively meet with managers and support with temporary staffing requirements
- To proactively support initiatives this will lead to the reduction of agency reliance
- To actively engage with external agencies for the provision of temporary staffing.
- To escalate issues as necessary to line managers and the Temporary Staffing Hub Manager.
- To facilitate and coordinate the induction of new starters and on the job training in all aspects of Bank Staff
- Act as an ambassador for the Trust ensuring that all enquirers and applicants receive a good impression of the Trust as a potential future employer.
- Ensure that all telephone enquiries and visitors to the Staff Bank are dealt with in a polite, professional, efficient and empathetic manner, whether or not their queries relate to staff-bank, referring non-staff-bank enquiries to other colleagues/staff,where appropriate
- Ensure all Staff Bank members are aware of the Trust’s policies, processes and codes of conduct and are appropriately trained to use the Bank Staff booking system.
- To assist in developing and deliver supporting complex staffing plans for the divisions across the Group, working with the wider HR team and the HR business partners to identify particular Group wide recruitment challenges.
- To work with the HR Business Partners to ensure that the resourcing action plans set out for the areas are delivered to project plans and timescales.
- To support Temporary Staffing Hub Manager in volume-based recruitment to support areas with large vacancy numbers in accordance with NHS Employers standards, Registered Professional guidance, UKVI guidance and also as per delivery against Group wide Boardapproved projects.
- Provide feedback to individuals and team managers and provide support to stake holders on findings of audits
- To quality control Temporary staffing documentation on a regular basis and highlight any issues that need remedial action.
- To ensure that the Temporary Staffing Team maintain a positive profile within the MSE Trust
- Organise data audits to provide assurance of information reported and make recommendations based on the audit findings and to include feedback to the Temporary Staff Booking Officers
- Organise audit spot checks of the bank and agency staff to ensure they are wearing correct uniform and IDs
- To participate as a member of the team liaising with the public and hospital staff in all areas on a daily basis, ensuring a positive patient experience.
- Participate in any initiatives within the Department to improve working practices.
- Navigate the patients to the clinical area using the electronic tracking system, working very closely with the nursing and clinical staff to ensure the smooth flow of patients for Outpatient clinics.
- Manage clinic and book appointments using the computerised Patient Administration System (PAS), E-track
- Distribute forms relating to external surveys to patients.
- To answer questions from patients and colleagues from within the department and other departments in a pleasant and helpful manner, demonstrating good customer care skills.
- Pass all medical case notes of patients that 'Did not attend’, cancellations and late arrivals to clinician/nurse for assessment and action as appropriate.
- Keep patients informed of any delays by updating the electronic tracking system.
- Support and uphold good team work.
- To undertake any other clerical duties as from time to time be deemed necessary to ensure the smooth running of the departments.
