Events Conference Assistant

**Are you a recent hospitality graduate or aspiring event coordinator? No previous experience is needed for this role, but a passion for great customer service and organisational skills are essential.**
Our Client is looking for somebody to join their fantastic friendly team as an **Events Coordinator**. You will be working closely with Growth (Sales), Leisure Centre and engaging with key stakeholders to ensure a seamless transition from booking to delivery, you will be responsible for taking the operational lead on thedevelopment, implementation, and management of Events, including liaising, and negotiating with clients, as appropriate, and ensuring that Health and Safety obligations are adhered to.
Reporting to the Service Delivery Manager, the **Events Coordinator i**s responsible for planning and organising Events held at the College; overseeing their delivery, taking ownership through to debrief; and seeking new and repeat businessopportunities.
**What you'll be doing**:
- Demonstrating a strong knowledge of our venues, facilities, catering offerings and taking clients on tours of suitable locations
- Overseeing the provision of catering, meeting weekly with the catering team to brief them on upcoming events
- Coordinating rooms set ups as required with the porterage team. Ensuring that rooms are serviced to our brand standards
- Communicating with key stakeholders prior to and on the days of event delivery
- Managing client relationships & encouraging repeat business
- Maintaining accurate records to facilitate successful events & to support the invoicing process
- Updating the calendar of events for effective long-term planning and management
- Responsible for ensuring the provision of accommodation (in liaison with the accommodation team); schedules; and that agreed registration/arrival plans are appropriate and delivered
- Working with Events Sales Manager to manage effectively the hotel stock being made available for commercial sales
- Delivering Event schedules on time, that meet (and hopefully exceed) client expectations
- Contribute to the formation of pricing through the management of costs
- Work closely with the clients and guests to make sure that everything is to their satisfaction, from the agreement brief to ensuring any last-minute amendments are actioned appropriately
- Willingness to work flexibly, outside of the typical office hours, including evenings and weekends when Events require. Accommodation will be provided to the events coordinator when overnight stays are required
- Ensuring insurance; legal; and health and safety obligations are adhered to
- Displaying a passion for the events industry and have a track record and background in delivery and logistics
- Being proactive; hardworking and able to work under own initiative
- Demonstrating excellent communication and customer service skills and displaying a high level of organisational and project management ability
- Collaborating with others, departments and operational staff, to ensure a high quality of Event delivery
- Providing a high-quality service, internally and externally, is paramount
- Provide additional support to the Service Delivery Manager role, including relevant compliance, facilities management and specific project management administration
