Previous experience in a 4/5 star environment essential with knowledge of Open Table & Opera.
You will be working in a fast-paced environment so the ability to multitask, strong verbal and written communication skills in English is a must.
**ABOUT THIS ROLE**
Assist the F&B Reservations & Admin Supervisor with Group, PDR and Exclusive hire process from the point at which a group has enquired to their actual experience to create a seamless customer service experience
Liaise with the client in order to obtain the necessary information required to ensure that their requirements are met and expectations managed
Generate BEO’s and OpenTable reservations as appropriate
Attend pre and post client meetings
Manage and configure OpenTable and other reservation platforms that may be added in the future
Amend, correct and confirm reservations in as appropriate recording all pertinent information
Quote appropriate Menu, room hire and or minimum spend prices to obtain optimum yield.
Ensure the following day’s bookings and are carefully checked against correspondence and that any necessary adjustments are made
Supporting the sales and marketing team with reservations
Action and ensure that all correspondence for reservations are filed in date
Action and ensure that all reservation amendments are actioned on a daily basis
Supervise and follow up that non-guaranteed and waitlist reservations are handled in accordance with the policy and procedure
Supervise that all No Show and Late Cancellation charges are settled in a timely manner
Assisting with reservations calls and the generic inboxes of the outlets
To perform other duties required by the F&B Reservations & Admin Supervisor or the F&B Leadership.
Maintain knowledge of products, menus, promotions and communicate to the team
Maintain knowledge of the competitor set of various outlets and assist the F&B Reservations & Admin Supervisor to produce monthly reports on defined comp set pricing.
Liaise with the Sales team and assist when possible with sales leads
To pick up additional day to day responsibilities in the absence of another team member
Drives up-selling of rooms, meeting rooms, and the outlets or any additional revenue stream supporting the hotel’s performance
Knowledge of the company loyalty program
Complaint handling and problem resolution
Have a thorough understanding of our Reservation Systems
Gain full product knowledge of all outlets, PDR & event spaces
To maintain a smart and professional approach within the team and with business partners
Have knowledge of City Events, Conventions, Holiday seasons, financial and political status of our Country as well as of key business source countries
Handle guest complaints with a genuine caring attitude
Manage training of all new employees in Reservations and the cross training of all Outlet staff, ensuring that training records are accurate and up to date
Manage training and development of team members in reservations is completed and documented
Assist in conducting daily briefings to ensure hotel and operational requirements are known
Assist with rota’s and payroll for Food Beverage, including managing Rotas in Harri or equivalent Payroll system.
Assist with Financial processes and preparation of Forecasts
Assist with raising Purchase orders or Reservations as required by the F&B Leadership
Attend marketing communication meetings and other meetings as required / requested
Assist with general HR responsibilities such as reviews, recruitment, ensuring the completion of these are in a timely fashion and meet deadlines for F&B
To provide complete support to Department Educator, maintain and grow our culture of learning through education and having a fun oriented atmosphere to achieve high productivity.
Ensure prompt completion of daily, weekly, monthly and quarterly reports
