**Main Terms and Conditions**

**Salary**:The salary of the post is £16,129 per annum. This will be paid monthly (for 12 months per annum).

**Payment of Salary**: Your salary will be paid by BACs transfer into your bank account on the last banking day of the month (except at Christmas when payment is made before the holiday)

**Working hours**:37 hours per week, full year. Starting and finishing times as agreed.

**Holidays**: Holiday entitlement is pro rata to 22 days annual leave plus 8 statutory and 4 concessionary days. After 5 years' continuous services the annual leave entitlement increases to pro rata to 25 days annual leave. For the exams role holidays must be taken during periods outside of term time.

**DBS Clearance**: This post requires Disclosure and Barring Service clearance as well as a range of other safer recruitment checks.

**Job Description and Department information - Estates**

This is an exciting opportunity to work amongst successful departments in an outstanding Sixth Form College. In the first instance you will be based within the Estates Team. You will provide administrative support to the Estates department, working to tight deadlines and always maintaining good relations with other staff, students, and contractors. You will have excellent organisational skills with a high attention to detail, accuracy, and an eagerness to learn.

The Estates Department exist to provide and maintain a high quality and safe teaching and learning environment for students. It is also vital that we provide high quality facilities to both teachers, support staff and governors in order to facilitate and maintain an outstanding working environment which is safe and secure. In addition, we aim to constantly improve facilities, through minor and major projects of work and through the reactive, planned and preventative maintenance programme. The Estates team currently consists of the Estates Manager, Deputy Estates Manager, Estates Co-ordinator and a committed and dedicated Site Team and Cleaning Team.

There may be a possibility that you will be deployed to other cross college departments, providing administration support.

As part of your role, you will undertake a Level 3 Apprenticeship in Business Administration and you will receive support from colleagues in your role as you train.

**Job Title**:Business Administration Apprentice (Estates)

**Responsible to**:Estates Manager

**Main Duties and Responsibilities will include**:

- Provide an office presence, promoting a professional and welcoming image for the college’s contractors, facilitating signing in and issuing of contractor access cards
- Update the contractor schedule in line with upcoming planned and reactive works
- Maintain & update the contractor Disclosure & Barring Service (DBS) database
- Process orders including but not limited to training, stationery, cleaning materials, tools & equipment
- Complete monthly rotas for the Estates team and external hire of our facilities
- Liaise with the Estates site team to ensure regular and accurate utilities meter readings are taken and uploaded onto the portal to ensure an accurate account
- Ensure accurate records of current college staff are held within the Health & Safety e-learning portal
- Management of Estates records - file management and databases, including uploading of relevant information to Newman Connect
- Prepare documentation & take minutes of meetings as required
- Review CCTV in line with requests from the Estates Manager or Senior Leadership Team (SLT), within GDPR guidelines
- Provide support to the reception team, ad-hoc cover as necessary and distribution of incoming mail
- Provide business administration support to Lancaster University School of Maths (LUSoM) General
- To provide administrative support to other areas of the college as required
- To undertake any other duties as may be deemed necessary from time to time within the scope of the post as requested by the Estates Manager or designated alternate
- To follow all college policies and procedures and work in accordance with the college’s Health & Safety Policy

**Job Description and Department information - Exams**

The Exams Department has two experienced members of staff who are responsible for the smooth running of all external examinations (and one set of internal examinations) across college and extending to LUSOM.

This includes everything from registrations and entries, preparing for exam days, the exam days themselves, post results services and final certificates. This is a busy area of college and we work with lots of stakeholders - students and their parents, staff across college including teachers, learning support, achievement tutors, networks and estates, and also the awarding bodies. We adhere to strict rules and regulations regarding confidential and secure materials and so excellent organisation and close attention to detail are essential to our work.
