**Role context**:
The is a dual Team Assistant / Personal Assistant role designed to provide the team and senior management with the required level of proactive and consistent support. The Personal Assistant should always be one step ahead, pre-empting situations before they arise.

**Core Responsibilities**:
Extensive and complicated diary management for senior management often coordinating across multiple diaries
Proactive and consistent coordination of meeting schedules
Global travel booking across different time zones and all associated logistics
Organisation of all board meetings
Create and share agendas for board meetings
Minute taking at fortnightly board meeting including circulation of action points
Editing, formatting, binding, scanning and photocopying documents
Coordinating conference calls / video conferences with clients and global team members
Producing regular reports as requested
Acting as a gatekeeper and first point of contact for all matters within WM
Booking restaurants, venues and spaces for high level breakfasts, luncheons and dinners
Ad hoc coordination of initiatives including Team Away Days / off-site meetings and all in-house training events
Partnering with Facilities Management and IT to ensure printers and tech work seamlessly within Sea Containers
Meeting and greeting visitors including clients, media owners and other business partners
Track incoming / outgoing documents for signature
Reconciling and processing all expense claims and completing timesheet data in our in-house system
Maintain team birthday calendar
Raise new joiner forms and update various systems, distribution list and team meetings
Ensuring all leaver forms are sent through the correct department upon leaving
Responsible for creating and maintaining an up to date team organograms
Skills and Behaviours
Excellent written and verbal communication skills
Ability to work in a highly pressurised environment with a high level of emotional intelligence
Proactive always and able to make decisions autonomously
Ability to build effective relationships at all levels of employees and senior clients, media owners and key industry contacts
Methodical and thorough approach to work with an ability to keep a clear mind in a busy (sometimes noisy) environment with a great variety of tasks
Self-motivated and able to work independently as well as able to work alongside a wide range of people in different areas of the business
High attention to detail with a structured approach to work tasks - with a good sense of prioritisation
Previous experience of working with highly sensitive and confidential information
Good computer skills (MS Office Word, Excel and PowerPoint) are required
Enthusiastic “can-do” attitude with consistent demonstration of conducting responsibilities to an excellent standard
