We have a new position available as an Executive Assistant.

As part of your role, you will be required to assist the Executive Directors across a broad range of duties, including complex diary management, organising meetings / events, and providing a comprehensive, high-level administrative and secretarial support function. You will need to be conscious of the demands placed on the Executive Director team.

You must be able to work autonomously and manage discrete projects, to take responsibility and think independently, to respond to sudden unexpected demands and use sound judgement and initiative.

Additionally, you will need to work as a member of the Executive Support team where there will be individual and team objectives to achieve.

Management of complex and competing priorities requiring effective prioritisation.
- Proactively managing all aspects of meetings, event arrangement and management of multiple diaries. Ensuring that the Executive Director’s time is used effectively and is focused on the Trust strategic priorities.
- Undertake the preparation and production of agendas, collating all necessary information and supporting paperwork in line with timely distribution. To attend meetings to record and then circulate minutes as required by the Executive Team. To take responsibility for follow up actions of minutes. To ensure that appropriate venues are booked, hospitality arranged, presentation materials and IT organised and all delegate information circulated.
- Ensuring the Executive Directors are properly briefed and prepared for the work programme and meetings ahead.
- Assisting in the preparation of reports and summarising reports where necessary.
- Using judgement and experience in dealing with queries on behalf of the Executive Directors.
- Being the first point of contact for all inquiries for the Executive Directors.
