We have an exciting opportunity for an experienced Medical Secretary/PA to working for three consultants in the Sleep Disorder Centre. The centre provides a comprehensive service in sleep medicine for the South East of England.

Ideally you should enjoy working as part of a team to support the delivery of a quality service and be confident with the use of Microsoft office packages including; Word, Excel, PowerPoint.

**Example of responsibilities**:

- Working with the Consultants/Clinicians to provide admin and typing support.
- Assisting with the typing and processing of clinic dictation, letters and report ensuring prompt despatch of correspondence to GP’s within agreed timeframes.
- Attend department meetings, confirming attendance, minute taking and circulating.
- Ensure any patient queries are dealt with in a timely manner.
- Ability to manage own time and workload.
- Not inclusive

Knowledge of patient pathways including RTT18 (Referral to Treatment 18 weeks) along with DM01 (Diagnostics Waiting times and Activity) is desirable but not essential as training will be given.

To provide a full range of secretarial/PA support to the Sleep Consultant colleagues and associated services. Working closely with the team in order to ensure the delivery of the service within NHS targets and Referral to Treatment 18 Weeks (RTT18) guidelines. Responsibility for prioritisation of secretarial workload for self and secretarial team, ensuring targets are met and patient care optimised.

Accurate audio typing of complex and sensitive clinical correspondence, reports and administration of Sleep clinics in order to support the Sleep Business Unit using digital dictation and Microsoft word. Able to compose ad hoc letters as directed and required.

Ensuring prompt output and sign-off within agreed timescales together with appropriate filing in the case notes or transfer to Electronic Document Management (EDM) System.

First line support for the secretarial team of three audio-typists/administrators, recording of annual leave ensuring secretarial cover.

Maintain Consultant diary and operate an effective “bring forward” system. Review consultant in-tray prioritising any urgent correspondence.

Using NHS Portal and Patient Centre to update new patient detail and liaise with GPs and offsite hospitals regarding associated queries.

Gain a comprehensive understanding of NHS and RTT18 targets in order to assist with addressing areas of concern and maintaining compliance. Close pathways as necessary where advice has been given.

Attend departmental meetings, taking and transcribing minutes.

Prioritise workload and deal with urgent direct onward referrals from clinic ensuring clinical correspondence is administered within appropriate timescales and forwarded to receiving Trust.

Ensure telephone enquiries are dealt with in a confidential, professional, tactful and timely manner, responding sympathetically to individual needs within resources available.

Action and deal with any other issues as required and as directed by the Service Co-ordinator.

Develop and maintain a sound knowledge of Patient Centre/ Patient Administration System. (PAS), support others in the team with training if required.

Ensure follow-up actions from clinics are reported to the Appointments team and recorded accur
