Purpose of the role As one of the Safeguarding Team Administrators, the post holder will: deliver administrative support to clinicians undertaking Court of Protection and LeDeR workstreams. work as part of the ICB statutory Safeguarding Team providing and managing a comprehensive confidential administrative and secretarial service, supporting the Safeguarding Team. manage an administrative system that allows the Safeguarding Team to work effectively and efficiently. act as an ambassador for the Directorate exercising initiative in responding to requests for information or requiring action.
create and maintain effective working relationships at all levels, internal and external to the ICB, including NHS and non NHS organisations locally and nationally. work in a busy and demanding environment where there will be daily interruptions and quickly changing situations and priorities, using their initiative to prioritise work and make sound judgements. Key responsibilities of the role To provide administrative support to the Court of Protection and LeDeR functions at the ICB in a timely way, ensuring that key deliverables of those services can be achieved. To coordinate both ICB and multi-agency meetings as required, including preparation of agendas, enclosures, distribution of meeting papers, and other requirements as they arise.
To take responsibility for handling sensitive and confidential information for the Safeguarding Team with a variety of contacts from across multi agencies and be able to understand and prioritise information. To work with little supervision on a day to day basis, within agreed ICB Policies and Procedures, and act as a first point of contact for the Safeguarding Team, dealing and responding effectively with complex queries from Health and other agencies and passing on relevant information to appropriate team members sensitively and autonomously in the best interest of vulnerable children, young people their families and adults. To deal in a professional way and on a daily basis with often distressing or disturbing information containing explicit neglect, physical, emotional or abuse content. To attend and take minutes for a wide range of professional meetings both internally to the ICB and involving system partners.
To support the development, implementation and monitoring of all Court of Protection/LeDeR data dashboards. To make recommendations to managers on best practice, policy and procedure in respect of own area of work, (Court of protection/LeDeR administrative processes). To develop and maintain effective electronic filing systems, to ensure that information is kept securely and is accessible to other members of the team. To ensure the electronic filing systems are efficiently maintained and kept up to date.
To ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner. To organise and plan events as directed, providing all necessary support in local materials. To support the Court of Protection/LeDeR functions of the safeguarding team in project management and participation in department events. To sort incoming mail and deal efficiently with electronic mail, ensuring that confidential, urgent and priority items are highlighted for prompt action by an appropriate member of staff.
To undertake effective calendar management, organising appointments and meetings and resolving conflicting diary appointments. To produce house-style letters and other documents to a high standard and at short notice in some instances. To undertake distribution of sensitive and confidential Safeguarding information and documents electronically as required by the Safeguarding Team. To maintain confidentiality and ensure working practices are secure.

The ICB will require evidence of current registration. Failure to comply may result in your suspension from duty and could result in disciplinary action
