**Role Summary**:
We are looking for a hands-on and detail-oriented **HMO & Short-Let Property Operations Assistant** to work with the Operations Manager in the day-to-day running of our shared (HMO) and short-let (Airbnb) portfolio. This role combines operational coordination, compliance oversight, guest/housemate experience, and basic financial checks to ensure everything runs smoothly and profitably.
**Key Responsibilities**:
**HMO Management**:
- Manage tenant onboarding and exits for HMOs
- Conduct property viewings and assist with room allocations
- Coordinate licensing and compliance for HMO standards
- Liaise with tenants regarding maintenance, inspections, and notices
- Ensure common areas are clean, functional, and legally compliant
**Airbnb / Short-Let Operations**:
- Oversee self-check-in/out process for short-let guests
- Coordinate cleaning and maintenance schedules
- Ensure listings are up to date and guest-ready
- Handle urgent guest issues professionally and promptly
- Monitor booking calendars and avoid conflicts with long-term lettings
**Compliance & Maintenance**:
- Keep property certificates up to date (Gas Safety, EICR, EPC, Fire Risk Assessments)
- Schedule and log regular inspections and maintenance visits
- Maintain organised compliance records for audit readiness
- Liaise with contractors and service providers
**Financial Oversight**:
- Monitor incoming rent payments and chase late payments
- Track short stay revenues and flag inconsistencies
- Conduct light financial audits on income vs expenses
- Assist with invoice checking, filing, and budget reporting
- Provide monthly financial summaries to management
**Skills & Experience Required**:
- Experience in residential property management (HMO or lettings preferred)
- Understanding of HMO regulations and licensing requirements
- Familiarity with Airbnb or similar short-let platforms
- Strong organisational and admin skills
- Comfortable with spreadsheets and basic financial tracking
- Proactive communicator and problem-solver
- Ability to manage multiple priorities across different property types
**Bonus if you have**:
- Previous experience with self-check-in systems.
- Knowledge of property management software (Arthur, Alto, Xero, etc.)
- A clean driving licence and access to a vehicle (if travel between sites is needed)
