Job objectives and responsibilities
To work closely with the Account Management team and site based management carrying out administrative based
tasks
To Ensure all relevant documents are up to date and stored correctly in line with GDPR
To provide clear and timely communication to all within the Account on key issues that affect the business operation
Ensure that the interests of the Account are fully protected at all times and conduct yourself accordingly representing
Mitie
Main duties
- Compiling reports for the Account manager and site based Managers as required / requested
- Provide Senior Management administration support.
- Organisation and ordering of all on site uniform requirements, liaison with suppliers and arrangement of
alterations when required.
- Periodic visits to centres accompanied by a member of the Account management team
- Collating HSE information from site and ensuring all incidents are investigated appropriately and closed down
within the required timelines.
- Collating Incident reports/debriefs.
- Compile head office filing system, detailing training records, sickness records, KPI reports, minutes, Monthly
reports etc.
- Ensure all Personnel files & Performance management related documents are scanned and sent to Colleague Support. - Planning and scheduling duties, sickness and holiday onto Timegate, and all other aspects of Timegate administration. - Arranging, recording and updating Training Matrix and forward planning to achieve the Training Programme targets. - Manage and monitor the team SIA licence status and renewals ensuring all persons are compliant to legislation at all times, Liaison with Screening and Vetting Employment support services. - Updating Assignment Instructions when requested to do so, having received updates from sites, ensure AI and RA's are in date at all times. - Documenting minutes for meetings when required. - Collating weekly audit reports on all security activities within the site and present to the Account and Security Managers. - To assist in the recruitment process of all new staff for the site security team, through the approved Mitie Recruitment Portal, liaising with the recruitment team in HO - Process any officer changes correctly through all relevant teams - To assist in ensuring that all staff are site trained and have signed the Assignment and procedure Instructions, through liaison with the sites. - Take detailed notes on any issues of a disciplinary/capability nature, ensuring that Company Procedures are carried out regarding any disciplinary and appeal incidents, ensuring that HR policy is adhered too at all times and that HR have been consulted by the site - Ensure that all contractual requirements are properly fulfilled and if there is an issue or concern inform the Senior Administrator and Account manager - To develop and maintain good working relations with applicable local agencies and head office services. - To assist with management of key performance indicators and service level agreements. - Any other reasonable request from site management or Account management - Checking of all Accident and Health and Safety reports.
