Medical Education Administrator

We are seeking a motivated individual to support the Medical Education Team with providing efficient and effective administrative support for undergraduate medical education across the Trust and in South Yorkshire.
- Answering phone calls, opening and distributing post and responding to basic operational queries.
- To maintain accurate records and provide stakeholders with information and reminders.
- To provide administrative support with the planning and execution of timetables.
- To co-ordinate meetings and events by booking rooms, refreshments/catering, producing agendas, taking meeting minutes/action points and ensuring all relevant papers are organised and distributed pre and post meeting within agreed timescales.
- To provide advice and support to students, clinicians and other staff groups in relation to basic operational policies.

- To work with the Medical Staffing and Education Co-ordinators, to co-ordinate the administration of placements for Undergraduate Students from The University of Sheffield and Sheffield Hallam University
- To co-ordinate the changeover of medical students; ensuring that essential administration related to this is complete and that all necessary paperwork reaches the appropriate departments on time. This will include producing induction packs in a timely fashion and to a high standard.
- To assist with the recruitment of junior doctors onto the Psychiatry training programme including the following: - Check employment eligibility for Junior Doctors.
- Creating and issuing offer letters and starter packs.
- Assist with the process of Disclosure & Barring Service (DBS) checks.
- Assist with the process of Occupation Health checks.
- Creating personal files
- To organise teaching sessions and training for medical staff groups, including co-ordinating and producing timetables, overseeing changes and ensuring good communication with students, tutors, presenters and external stakeholders.
- Administration and documentation of students assessments
- To maintain up to date and accurate electronic student records.
- To collate and save placement information and requests, ensuring these are made available for educators and line managers.
- To maintain accurate records, issue and recover property (e.g. mobile phones).
- Support educational resources by maintaining records and supporting students and doctors (e.g. library books).
- Assist colleagues in Medical Staffing and referring complex issues for resolution to Medical Staffing as appropriate. For example, monitoring and maintaining leave records for junior doctors and providing basic operation policy guidance where issues arise.
- To request stock and non-stock requisitions for approval by line manager.
- To provide administrative support for projects as identified and agreed with line manager.
