Apprentice Business Administrator

The Business Administrator is responsible for all administrative, day to day mobilisation and clerical support to the Quality First
- The post holder will provide administrative support in a busy, dynamic and, at times, pressurised office
- To work to a high standard, presenting a professional image of the Quality First Team and
- To always maintain a high level of confidentiality and data security
- To act as a ‘gatekeeper’ for the Quality First Team and be an ambassador for the team.
- To provide data and information for presentation to the Quality First senior management team as requested.
- To develop reports from workshops facilitated by the Quality First Team
- To support the Quality First Team across a number of communication tasks including the management of the intranet page, website page, production of newsletter articles and associated
- Proactively and autonomously manage coming and outgoing information on behalf of the Quality First Team
- To act as the first point of contact for the members of the Quality First team, dealing and responding effectively with queries from stakeholders
- To ensure all relevant information is cascaded effectively to appropriate staff, in a timely manner, having regard to confidentiality or sensitivity of the information
- To be responsible for day to day staff recording matters, which include responsibility for supporting the team rota for absence management and E-roster management
- To source and provide up to data, as requested, to inform Team reports for example appraisals and stat/man training.
- Undertake a broad variety of administrative tasks for the senior management team, including: management of active calendar appointments;
- To ensure that all callers and contacts with the Quality First Team are dealt with effectively.
- Works closely and effectively with the senior management team to keep them well informed of upcoming commitments, following up appropriately where availability or diary commitment changes. To prioritise and follow up on incoming issues and concerns addressed to the senior management team including those of a confidential nature

- Be responsible for the administration of meetings as required by the senior management team ensuring the preparation of agendas, notes, action logs, collation and distribution of associated documentation, room bookings and organising catering if required
- Demonstrate excellent verbal and written communication skills
- To co-ordinate and follow up on any estates and facilities issues to support the smooth running of the quality improvement hub
- To facilitate the ordering and delivery of necessary supplies for the quality improvement hub.
- To work in a supportive manner with other members of administrative teams, to ensure the smooth running of the administration for the organisation. To trouble shoot any emerging issues and escalate where necessary
- Ability to display tact, diplomacy and discretion when relaying sensitive information
