**Job summary**:
Based in the Thomson Building at RAF Waddington and other locations throughout the UK and the United States, the Air and Space Warfare Centre (ASWC) is the primary source of timely, impartial, authoritative and integrated advice to support success on current and future operations in the Air and Space environments including associated Electronic Warfare (EW), Cyber and Information. To achieve this, it must work collaboratively to manage and exploit its information and the availability of reliable information is paramount.
The Business Management Team are the foundation of the Finance profession; the first point of contact for business management and financial processes for the ASWC.
Within Business Management, as the holder of the position of ASWC Travel Cell Administrative Officer (AO) 1, you are responsible to the ASWC Deputy Business Manager, for the day-to-day provision of the ASWC Travel activities, ensuring the delivery of a professional, timely, appropriate and cost effective service to Military and Civilian personnel in accordance with current MOD and ASWC Travel policy; ensuring compliance at all times. You will also be expected to ensure that your professional knowledge is current and you are to keep yourself abreast of new developments within your specialist area. Although the post is at AO grade, there is no supervisory responsibility.
This position is advertised at 37 hours per week (Full-time) and flexible working options can be discussed with the successful post holder as appropriate.
**Job description**:
The ASWC is a constantly evolving, fast paced working environment and you will have the opportunity to join a small but hardworking team that is responsible for delivering Travel Cell Services for ASWC customers and other partners face to face, by phone, and digitally.
An exciting opportunity has arisen for a highly motivated individual who will be expected to work as part of a small team, demonstrating a self-motivated, flexible approach with an ability to prioritise work and manage resources effectively. You will be IT literate and have excellent Excel and Word skills, have a good eye for detail and be able to work unsupervised while providing high quality support service to the ASWC.
During the recruitment process, the applicant will be required to demonstrate the following experience:

- Customer Service Experience
- Well-developed IT Skills (Microsoft Office 365 Products)

- Understanding of MOD Business Travel Processes
- Experience using the Online Travel Booking Tools
- Experience using Electronic Procurement Cards (ePC)
- Understanding of SharePoint
**Person specification**:
**Travel Booking Services**
- Liaise with the traveller, ensuring that the information and itinerary is accurate.
- Liaise with Amex to obtain options for travel and to achieve the best value for money where possible.
- Liaise with BMD Management to ensure that all travel requests have received financial approval before booking.
- Use the Amex on-line tool initially to book authorised travel, including flights, hotels, rail tickets, ferry bookings, Euro Tunnel, Euro Star. Resorting to telephone booking only if essential.
- Book overseas Hire Cars on line through the Clarity System.
- Provide relevant electronic access for Military and Civilian travellers to obtain medical cover registration for overseas duty.
- Issue NATO Travel Orders to all Service personnel proceeding on overseas duty, maintaining the NATO register.
- Liaising with the relevant authorities for policy and procedural direction on Travel Centre matters as required.
- Booking of School Childrens Visits (SCV). Liaising with Family Section for flight booking, and maintaining regular contact with the childrens parents/guardians as necessary for safeguarding.
- Developing the systems and procedures in the Travel Centre to ensure best practice methods are employed to meet the ASWC’s travel needs.
- Provide training to other appropriate staff, as directed by BMD Management.
**Electronic Procurement Card (ePc) Procedures**
- Maintain appropriate use of ePc and liaise with the BMD to obtain approval if required to pay for any travel.
**Auditing and Filing**
- Maintain the Movement Financial Authority (MFA) Register.
- Conduct Defence Travel Management Information (DTMI) audits on a monthly basis.
- Create and update electronic folders to provide a full audit trail for each traveller.
