Salary : £24,000 - 34,000
Hours of work : Full time hybrid working
**Responsible to : Head of Programme**
**Background**:
We are the Charity for Oxford University Hospitals NHS Foundation Trust. Working with our Hospital Trust and community of supporters, our Charity’s mission is to raise standards above the level that NHS funding alone allows. The Charity helps to enhance the hospital environment, purchase medical equipment that will make a real difference for patients and contribute to research, staff development and training.
We turn donations into the best possible medical equipment, transform wards and departments, champion medical innovation and research and provide specialist support, training and education for our dedicated NHS staff.
The hospitals that we support are the John Radcliffe Hospital, Churchill Hospital, Nuffield Orthopaedic Centre and the Horton General Hospital.
**Job Summary**:
This is a new role working within the Programme Team to monitor, manage and ensure best use of the Charity’s many funds designed for use in specific clinical areas of our four hospitals.
**Main Tasks and Responsibilities**:
- Engagement with Fund Advisors (note: Fund Advisors are hospital staff assigned to advise on the charity fund for their area).
- The clinicians who are advisors on each Charity fund are a key stakeholder group. This post will proactively build good relationships with key fund advisors and provide them with advice on the appropriate use of the linked funds.
- Acting as a point of contact for fund queries regarding spending, and either dealing with those directly or redirecting these to other members of the Charity team as appropriate. This will be in conjunction with the Programme team.
- Using the intelligence gathered to inform the Head of Programme of opportunities and issues to be addressed for funds and/or with Fund Advisors.
- Linking in with the new Hospitals Engagement team to share intelligence, contacts and learning in relation to best use of funds and engagement with Fund Advisors.
- Work closely with others to produce a quarterly newsletter for Fund Advisors to accompany fund statements.
- Support the Charity to raise awareness of the impact of our work with Fund Advisors, in person and via appropriate communication channels.
**Analysis and reporting**
- Produce and maintain a list of specific funds and how they link to hospital departments, directorates and divisions.
- Undertake a periodic review of the activity of funds, providing advice, direction and guidance to fund advisors as appropriate to ensure correct and timely fund use across all areas in line with Charity law, trustee guidelines and audit requirements.
- To develop a new programme of monthly fund reporting to be added to the monthly management accounts.
- Provide ad hoc reporting to demonstrate availability of localised and or similar purpose funds to support programme delivery.
- Periodic reporting on fund activity to help identify dormant funds and run ad hoc report as required.
**Project involvement**
- Working with the Head of Programme undertake specific projects to further develop the use of the Charity’s IT systems to better manage funds and deliver charitable expenditure for maximum impact.
- Working with the Head of Programme and the Finance team to review and revise the guidance booklet provided to Fund Advisors and ensure timely fund advisor induction.
- Working with the Head of Programme to produce a fund heat map showing activity across the wards and departments.
- Working with the Hospital based team to keep them updated on activity and spend to assist with their interactions.
- Work regularly with the Fund Administrator as appropriate.
- Any other duties as reasonably required.
**Person Specification**:
- Qualities Knowledge, Skills, and Experience_
- Strong interpersonal skills, a great communicator, we need excellent written and communication skills.
- NetSuite or other CRM type IT experience.
- Experience of using databases and systems to maintain records.
- Experience of data analysis and management, including the producing reports and graphs.
- Proven track record of administration, and proficient with MS packages, particularly excel.
- Able to work under pressure, manage multiple systems etc.
- Accuracy, with great attention to detail essential.
- Previous charity or NHS experience desirable
