The role of the
** Secretary Team Leader / Secretarial Team Supervisor (STS)** is responsible for delivering both core business secretarial services and line management of the local office Secretaries team; supervising workflow and supporting team members with development needs. Reporting directly to the Regional Office Manager (ROM), the STS supports and ensures the smooth and efficient running of the secretarial activities within their nominated office. This includes the central secretarial service system (TickIT), document management and mailroom, to help manage, maintain and improve firm wide business services activities. The STS also has a responsibility to help deliver the internal brand/culture and kindle positive conduct and approach within the team.
Additionally they will work closely with their ROM to identify and pursue new business leads, support and implement new strategies and processes to meet the objectives of the business.
**Responsibilities**:
- To be the first point of contact for secretarial team enquiries; coordinating the team’s workflow, as appropriate, and re-directing/escalating any issues to the ROM to ensure a seamless secretarial support service is provided to the business.
- Delivery of secretarial duties including, dedicated support where required, formatting and preparation of business documents, audio typing and minute taking as necessary and covering routine duties of post, scanning and document management services.
- To assist the ROM in recruitment, retention, motivation and development of the secretarial team resource to ensure a high level of excellence is provided to support the business areas. To share and encourage best practice and to ensure professional and cohesive secretarial standards are delivered to meet the wider business needs.
- To ensure the localised secretarial support and central operations’ business management system standards are communicated to the team. In addition, to ensure this is regularly monitored and to ensure they are adhered to, helping with accreditation retention of our ISO 27001/9001.
- To support the ROM in the implementation of strategies and policies to meet the aims of the business.
- To work with the ROM (who in turn is working with the Operations Manager) in the preparation of the central operational annual business plans and budget forecasts relating to secretarial support budgets.
- To work with the ROM (who in turn is working with the Operations Manager) in the preparation of the quarterly reports to Management Board and Partners on office and secretarial support activity.
- To work with the Secretarial team to deliver the central services provision, such as secretarial Tick-IT requests, dedicated secretarial services, document management, mail room and front of house.
- To offer shadow cover for Secretarial Team Supervisors in other offices.

Qualifications:
**Experience/Qualifications**:
- Experience in a similar role with the ability to deliver advanced secretarial services
- Previous supervisory background is essential
- Ability to demonstrate successful working relationships within a team
- Confident in ability to make supervisory decisions
- Professional approach in all forms communication (written and oral)
- Ability in the use of information technology e.g. inhouse systems
- Professional services industry knowledge is desirable and an advantage
- Maths and English GCSE standard (or equivalent) is desirable
