**Description of role and key responsibilities**
To be responsible for all facilities related functions, providing administrative support to the Head of Facilities and Procurement and cover for front of house when required.
Key responsibilities include, but are not limited to:
***General**
***- Provide support and deputise for the Head of Facilities and Procurement as required
- Create, review, and maintain all procedures for the facilities functions
- Report service-related risk events
- Carrying out performance development reviews for any direct reports, including setting goals and developing performance accordingly
- Identify areas of improvement across facilities and front of house function.
**Facilities**
***- Monitor and respond to day-to-day requests to the Facilities helpdesk
- Review and update facilities and health & safety risk assessments
- Primary contact for third party suppliers associated with the Planned Preventative Maintenance (PPM) for hard and soft services.
- Input and monitoring of PPM database (CATI)
- Liaising with contractors to complete reactive tasks
- Deliver and monitor the Healthy Working programme and undertake any required ergonomic assessments and reporting.
- Act as Lead Fire Marshall and First Aider, supporting teams across each jurisdiction.
- Provide monthly data by jurisdiction on facilities monitoring dashboard.
- Overseeing business document archiving and co-ordinating destruction of old archive boxes as appropriate
- Manage issue of security tags
- Maintain stock levels of printed stationary
- Provide out of hours support on an infrequent but as needed basis
**Reception**
- Cover front to house functions where appropriate and during times of leave.
***Sustainability Reporting**
- Represent IBCI at Team Green monthly meetings.
- Liaise with IBP sustainability team for any Team Green promotions/initiatives
- Liaise with landlords across each jurisdiction for invoices/readings and calculation of IBCI share and usage across shared resources.
- Provide monthly reporting via Envizi of energy usage, water, waste, travel etc for each jurisdiction.
- Provide oversight of IBCI waste management
**Core Skills and Knowledge**
- Have experience in a facilities management role
- Have a good understanding of the regulatory environment including the regulations, rules and guidance and their implications relevant to the job and to follow all applicable internal compliance considerations and appropriate processes, policies and procedures
- Ability to prioritise, work under pressure and to deadlines
- Reliable, conscientious, accurate and honest
- Good personal communication skills
- Computer skills
