We are seeking an enthusiastic, driven and compassionate divisional administrator to join the Networked Services Division.

The post holder will be central to the supporting of effective operation within the division and will undertake general administration duties including diary management, organisation of meetings, documentation of notes/actions and the collation and circulation of papers, reports and other relevant documentation to support the overall divisional function. They will need to be highly organised and able to communicate to all levels of staff within a Trust environment.

They will be required to organise their own workload to ensure that an efficient and high quality service is provided and carry out any other duties reasonably required by their Line Manager. There will be an expectation for the post holder to be highly motivated, flexible and multi-skilled with excellent organisational skills and attention to detail.

The role is full time and based within The Spine Building in Liverpool. Previous NHS experiences would be advantageous but not essential. You must have demonstrable administration experience along with a strong understanding of Microsoft Office packages.

Provide high level secretarial/administrative support to the division management team

Arrange meetings, setting and distributing agenda and papers, taking and transcribing action notes, and following up on actions to be completed

Organise and coordinate meetings, conferences and events, including at external venues; booking rooms where necessary and ensuring that appropriate equipment is available.

Ensure new starters within the division have their required equipment and access rights

To support and manage comprehensive staff records including approved annual leave, study leave, training, sickness absence and payroll information etc. using the appropriate electronic system.

Continuous monitoring of the provision of administrative work to ensure an effective and efficient service to the division, and developing and implementing new working practices as necessary

Communication and Relationship Skills
- Provide high level secretarial/administrative support to the division management team
- Meet staff and visitors to the department and deal with them in a professional manner
- Exercise discretion and diplomacy when dealing with sensitive and confidential matters and complaints directed through the division
- Maintain diaries for Senior Managers within the Division
- Provide and receive complex information, either verbally or written, requiring tact or persuasion in order to overcome barriers to understanding

Knowledge, training and Experience

Analytical and Judgement Skills
- Exercise a dynamic, flexible and pro-active approach to prioritise demands made on the administrative service by the relevant division senior leadership team
- Ensures issues are dealt with in a timely fashion by the re-direction as appropriate of correspondence and enquiries in the absence of individual members of the division
- Act on own initiative to make judgements involving facts / situations requiring analysis and comparison of a range of potential options.

Planning and Organisation Skills
- Organise and coordinate meetings, conferences and events, including at external venues; booking rooms where necessary and ensuring that appropriate equipment is available
- Works largely autonomously in determining how the workload is prioritised on a day to day basis
- Co-ordination and dissemination of accurate and timely performance data.

Physical Skills
- Audio and copy type correspondence including reports for the division
- Advanced keyboard skills for regular use of computer systems

Responsibility for Patient/ Client care
- There is no direct patient care involved in this role, however some of the organisational duties will need to be balanced with the clinical requirements of the staff involved

Responsibility for Poliicy/ Service Development
- Support specific projects for service improvement with a business focus which may also involve the continuous audit of current systems
