**Working Hours**: 37.5 Hours Per week, Monday to Friday (8:00AM-4:30PM)
Within VIVO we are currently recruiting for an Administrator who will be supporting the operations team at RAF Waddington.
This is a key role where you will be supporting the two Service Managers and the Built Estate Managers with administrative tasks in an effective, compliant and timely manner. You will be preparing and keeping reports updated as required by management, using Excel, Maximo or other IT systems. You will be supporting with booking suitable facilities, confirming site access, recording access and taking notes in meeting as necessary.
Your primary responsibilities will include; checking Maximo throughout the day for new reactive tasks, and allocating them to the correct supplier or operations manager accordingly, using operations data to check for works requiring mitigation and keeping records, chasing overdue jobs and prompting managers if necessary and scan/upload certificates to works to close down.
You will also be responsible for raising purchase orders, ensuring office health and safety notice boards are up to date and safety alerts are displayed and distributed to staff, ensure site visitors are dealt with in process and process BPSS paperwork for staff and contractors.
What you’ll need to do this role
You will use your previous experience within in busy, fast paced administration positions to prioritise tasks to meet tight deadlines. You will be proficient in MS Excel, Maximo or other bespoke IT systems. It is highly desirable that you have experience or knowledge of health and safety.
It is desirable that you have experience of operating within either an MOD or Construction/Property Maintenance environment.
You must be able to pass BPSS Clearance to be considered for this role.
