1. Must have a good understanding of the Mental Health Act 1983 including the 2007 revisions to the Act.

2. Arrange pre-admission assessments and other appointments for and on behalf of the clinical team.

3. Arrange internal and external meetings, which incorporates the following:
a. Producing, updating and maintaining meeting programmes.

b. Requesting, collating and preparing reports from both internal and external bodies.

c. Liaising with internal and external professionals, Tribunal Office and the Ministry of Justice.

d. Inviting relevant people to meetings.

e. Booking meeting rooms and organising refreshments.

f. Minute taking.

g. Arrange conference calls.

4. Keep track of all meetings (e.g. CPAs, Tribunals, Managers Hearings and Professional meetings) and book meetings/appointments.

5. To ensure that the staff team receive support to enable them to advise the current patient population on the legal frameworks for appeals to the tribunal service and hospital managers.

6. The post holder will liaise with the Lead Mental Health Act Administrator / Hospital Managers to arrange appropriate meetings for reviews of detention and ensuring that the managers keep up to date with relevant sections of the Act.

7. To scrutinise and securely maintain the legal papers for the patients detained at the hospital in line with both local and national policy frameworks.

8. To offer support to the Hospital Director, Approved Clinicians and multidisciplinary team surrounding the legal frameworks of the Act.

9. Provide relevant statistical information/data and reports to the hospital director and other external parties as required.

10. Ability to communicate effectively with people at all levels e.g. senior management, ward staff, patients and external professionals e.g. solicitors, commissioners, care co-ordinators etc.

11. Proficient use of MS Outlook, Office, Word and Excel would be advantageous.

**Key Result Areas - Clinical Secretary**:
1. Provide word-processing and general secretarial support for the Consultant Psychiatrists, Hospital Director and Registered Nurses.

2. Prepare assessments, case notes and other clinical reports and documentation relating to the patients and their treatment.

3. Drafting of letters, filing and general administrative duties.

4. Typing various reports for internal use and for external parties e.g. First Tier Tribunals Service and the Ministry of Justice.

5. Typing up dictations for clinical records.

6. Attendance at CPAs, professional meetings to provide a minute taking service.

7. Distributing reports, minutes and any other relevant information prior to and after meetings.

8. Arranging appointments/meetings on behalf of Consultant Psychiatrists.

9. Diary management, booking meeting rooms and organising refreshments.

10. Ability to communicate effectively with people at all levels e.g. senior management, solicitors, ward staff and patients.

11. Experience for at least one year in a secretarial role or achieved RSA or word-processing qualifications is desirable.

**Professional Responsibilities;**

1. The post-holder will be representing our services as a main point of contact and will need to have highly developed professional standards in their approach to all visitors, patients and staff.

2. The post-holder has a duty to ensure that they are equipped with the necessary skills to undertake the tasks required of them and should seek clarification, training and guidance in any areas of deficit or uncertainty.
