**GENERAL ROLE**
- The Administrator will offer a timely and consistent range of high-quality administrative support to the Insight Youth team and those referred to the service.
- They will be the first point of contact for all referrals to Insight Youth. Therefore, the role will necessitate the ability to communicate effectively with a wide range of age groups including, young people, teenagers, and parents.
- The post holder will also be expected to have an excellent IT knowledge, as well as good knowledge of Health and safety, risk assessments, and general office requirements.
- To work on their own initiative and be able to effectively prioritise their work load will be key to ensuring the effective running of administrative. They will need good self-motivation to work on their own, as well as part of a team. Given the sensitive nature of the work we do, the ability to maintain absolute confidentiality is fundamental to this role.
- To ensure accurate HR records are kept for all employees including full time, part time, volunteers, and placement personnel.
- Good flexibility of working hours is offered with some evening work required to fulfil the role and work related travel expenses can be claimed. A generous seven week annual holiday allowance (pro rata) is offered with three floating wellbeing days per annum to be claimed as and when required.

**PRINCIPLE DUTIES**
- To ensure the smooth running of the service through the performance and execution of the role.
- Process all referrals received to the service
- Update and maintain the database and related documentation
- Ensure organisation polices and regulations are kept up to date and reviewed
- Ensure records and documentation is in place and accurate for all personnel
- Oversee risk assessments on all premises borders wide
- Back up data system weekly
- Attend team meetings and other meetings where appropriate.
- To fulfil Insight Youth requirements in relation to receiving training and good practice

**Additional Requirements**
- Observe Health & Safety requirements
- Work within the bounds of all Insight Youth policies and procedures
- Receive regular recorded supervision sessions from the Head of Insight Youth
- Undertake any additional and appropriate functions within the organisation.

**EDUCATION/QUALIFICATIONS**

**Essential**
- Educated to National Higher level English

**EXPERIENCE**

**Essential**:

- Previously worked in an administration role.
- Used software programmes including Microsoft Outlook, Word and Excel.
- Worked with cloud-based data systems
- Prior experience of working with and maintaining data protection
- Experience of working as a member of a team

**Desirable**:

- Experience of data collation and analysis

**SKILLS AND KNOWLEDGE**

**Essential**:

- Good all round communication skills, particularly the ability to communicate clearly and concisely to a range of audiences.
- Effective time management with the ability to work under pressure
- IT literate with good typing skills
- Competent working knowledge of Microsoft Outlook, Word and Excel.
- Ability to multi-task and prioritise workload.
- Excellent organisational skills

**Desirable**:

- A knowledge of UK employment law and principles of good HR practice, as well as Health and safety and Risk assessments
