Premier Medical Group Ltd are part of the Kuro Health Group and currently have a fantastic opportunity available to join the Post, Scanning and Medical Records team.
**Administrator - Post, scanning and Medical Records**
An administrator has the prime responsibility to work on behalf of our customers to undertake administration tasks to ensure the customer is receiving the best quality service within expected service level agreements.
- Follow processes and procedures for the role, ensuring all tasks are undertaken accurately and to a high standard of quality.
- Sorting and distributing post to relevant teams within the business
- Scanning of documents to relevant cases.
- Make outbound contact with medical records providers, customers, experts regarding medical records to ensure cases proceed in a timely manner.
- Answer inbound queries from medical records providers, customers, experts and clients in a professional manner promoting the Premier Medical brand.
- Conduct verification of medical records ensuring the correct documents have been received in line with GDPR.
- Ensure the data handled remains confidential and secure at all times.
- Contribute to the resolution of complaints or errors, learning from the process and personal feedback to make future improvements.
- Prioritise own work informing senior colleagues in good time if deadlines cannot be met.
- Establish good relationships with other teams in the business, ensuring queries are resolved in a timely manner to ensure progression of cases in line with SLA.
- Assist with complex queries from Premier Specialists ensuring these are resolved in a timely manner to ensure progression of cases in line with SLA.
- Downloading, decrypting and converting medical records from various portals and uploading to CRM or burning to CD
- Managing records received on Egress and uploading records to dispatch to customer or expert where necessary.
- Processing of CDs in various formats
- Dispatch of hardcopy and soft copy records using the medical records burner.
- Preparing records on behalf of data protection team for SAR requests
- Uploading of Medco reports in line with Medco SLAs.
- Responsible for covering reception dealing with expected and unexpected visitors and following the relevant processes.
- Assisting maintenance providers whilst on site.
- Reformatting CDs for experts and communicating instructions to suit the CD format and their computer.
- Manage various inboxes ensuring they are actioned in a timely manner.
- Prepare and dispatch supplies to nurses for Medical Direct Group
- Manage stock levels of stationery for the office and for MDG orders.
- Organise courier deliveries.
**Education & Qualification**
Essential - GCSE C grade or equivalent
Desirable - Customer Service Level 2
Desirable - Business Administration Level 2
**Experience**
Essential: Basic admin skills
Desirable: Proven administration skills in an office environment
**Skills and Knowledge**
Essential: Ability to use standard Microsoft packages
Essential: Demonstrates good communication skills both verbal and written
Desirable: Excellent IT skills with experience of data input and retrieval of information
Desirable: Demonstrates ownership and the ability to plan their time effectively to deliver results
