Volunteer Co-ordinator

The Volunteer Coordinator is responsible for recruiting, training and supporting volunteers at New Beginnings Reading (NBR). This individual will be highly organised, a great communicator and committed to ensuring a positive working environment for volunteers. This position reports to the Managing Director.
**Responsibilities and Duties**
Volunteer recruitment and induction:
- Ensure new volunteers receive the appropriate induction, including a handbook and a shadow shift in coordination with rota managers and team leaders.
- Arrange volunteering days for groups and teams, coordinating with the person who supervises group volunteering.
General:
- Supervise volunteers who will carry out part of the volunteer coordination duties and whose work falls under the responsibility of the volunteer coordinator.
- Develop a long-term relationship and commitment to the mission and aims of NBR.
- Take part in reviews of the service.
- Prepared to work some evenings and weekends in order to lead volunteer training.
- Undertake any reasonable duties that may be requested from time to time.
- Ensure new volunteers receive the appropriate induction, including a handbook and a shadow shift in coordination with rota managers and team leaders.
- Arrange volunteering days for groups and teams, coordinating with the person who supervises group volunteering.
- Ensure the upkeep of the Queens Arms including regular cleaning of the building.
Volunteer support:
- Develop and nurture relationships with volunteers.
- Respond to enquiries from volunteers in a timely manner.
- Coordinate and lead training for volunteers, and support volunteers to access other appropriate training as required.
- Consult regularly with volunteers, understanding their needs and requirements for volunteering with NBR and provide feedback when required.
- Ensure volunteers feel appreciated by organising appreciation events, organising regular communications, and championing volunteer wellbeing.
Administrative duties:
- Manage volunteers’ personal details securely using Three Rings and DBS checks.
- Support volunteers in their use of Three Rings.
- Ensuring volunteer team leaders are complying with procedures.
**Person Specification**
- Must be an effective communicator and able to communicate with a diverse range of people
- Preferably experience with Google Drive and Docs and Three Rings.
- Able to plan, implement and continuously develop processes and policies.
- Able to directly supervise volunteers with administrative roles.
- Able to work on using own initiative.
- Must work within NBR Equal Opportunities policy.
Qualifications and experience:
- Minimum of one-year experience in an administrative role that involved managing staff or volunteers.
- Experience with DBS checks and safeguarding policies.
- Experience with maintaining a database and knowledge of GDPR.
Character and personal qualities:
- Meticulous and responsible.
- Able to keep the overview when carrying out a lot of different tasks at the same time.
- Good team worker.
- Autonomous, taking initiative to improve processes and policies.
- Keeping a professional manner in situations of conflict.
**About New Beginnings Reading**
New Beginnings Reading was founded in May 2017 in a direct response to rising poverty and homelessness in Reading. Our charity aims are to provide relief from the effects of poverty, financial hardship and homelessness to people in Reading, Berkshire. Our first service was launched in June 2018 after a year of refurbishing the Queens Arms. Businesses, individuals, churches and schools volunteered alongside the charity trustees to transform a derelict pub, into an alcohol and drug free sanctuary. We support up to 230 people each week across our three services - the All Day Cafe, Community Fridge and All Night Shelter (set to reopen this winter). This number is made up of families and individuals experiencing financial hardship, poverty and homelessness in Reading.
