**Wedding and Events Coordinator**
We are looking for a Wedding and Events Coordinator to join the Heartlands Team, We are a 19.5 acre site that has weddings and Conference centre, Cafe, Soft play area and outdoor play area with gardens, the role will be for a weddings coordinator to over see the wedding bookings and to work along side 2 other members of staff on the events team.
1. To be a point of contact for all wedding and evening party enquiries
2. To coordinate our clients’ weddings and evening parties, ensuring their function is to the highest standard with excellent customer service
3. To maximise the financial performance of weddings at Heartlands
**MAIN DUTIES**
1. To sell the venue to potential clients
2. To be the main point of contact for Weddings and evening parties at heartlands
3. To have responsibility for Wedding and evening party bookings, always ensuring excellent customer service
4. To build positive relationships with clients to encourage their continued use of the venue and word of mouth recommendations
5. To work closely with wedding couples, helping them to plan. Offering appropriate support when and where needed.
6. To ensure any external caterer or supplier provides the legal paperwork needed by Heartlands, to ensure the event is executed in a safe manner.
7. To manage the wedding and party bookings, always ensuring accuracy, by seeking the most up to date booking information possible and communicate any changes as soon as practicable
8. To provide accurate weekly information to be shared amongst the operations team
9. To work with closely with the catering and facilities team to ensure effective delivery of our customers’ needs. And to ensure events are executed to the highest standard and follow all legal safety requirements
10. To be present at the wedding ceremonies, making sure Heartlands fulfils its legal obligations as a registered venue
11. To be present at the wedding reception at least until the first dance, to ensure to couple’s day meets their wishes
12. To work with the accounts team to ensure accurately and timely payment
13. To work to the appropriate budgets and targets
14. To maximise the organisation’s profitability and to explore new opportunities for income generation and to advise the Business Development Manager on strategies to achieve this
15. To work with the Business Development Manager and Marketing & Events Manager to develop marketing strategies for the weddings, building profile and promoting Heartlands
16. To attend wedding fairs and events as appropriate
17. To assist with the planning of Heartlands internal wedding fair
18. To help with the planning and delivery of all Heartlands internal events
19. To help with the set up and take down of all events if required - both internal and external
20. To work as part of a wider team across the Trust to deliver organisational objectives
21. To be an advocate for the Trust and to promote the aims of the organisation
22. To take responsibility for your own personal development and to share your learning with others
23. To listen to feedback from our visitors and to ensure that it is used positively to influence and develop the organisation and its activities
24. To work flexibly to satisfy the needs of the business
25. To uphold and comply with the organisation’s Policies and the Law in relation to Health & Safety, Financial Regulations, Equal Opportunities, Data Protection and other adopted Policies and Procedures required for the smooth and effective operation of the organisation
26. To undertake other duties and responsibilities commensurate with the status of the post as may from time to time be required
**MINIMUM ESSENTIAL REQUIREMENTS**

**1. Skills and Knowledge**
Ability to motivate and effective teams
Innovative, creative and flexible; able to produce creative solutions to problems
Excellent communication skills and a strong customer-oriented ethos, being an effective ambassador of Heartlands
Knowledge of relevant legislation
Self-motivation, commitment and enthusiasm
Excellent ICT skills (MS Word, Excel, Publisher)
**2. Experience/Qualifications/Training etc**
Experience in a similar role
A qualification in events, hospitality, or business administration
**3. Work Related Circumstances**
Must be flexible and able and willing to work extra hours and some weekends, bank holidays and evenings when required
Must be able to travel to meet the needs of the post
