**Customer Care & Office Coordinator**
**Reports to**: Business Manager
**Purpose of Role**
To provide excellent customer service to parents, schools, and partners while supporting the smooth running of the office. This role combines front line customer care (phones, tickets, payments) with office administration (stock checks, supplies, organisation).
**Key Responsibilities**
**Customer Service**
- Process bookings and payments accurately.
- Handle queries (e.g. Universal Credit letters, childcare vouchers, complaints) and escalate only when necessary.
- Chase and reconcile payments.
- Maintain accurate and up-to-date records in systems.
**Office Administration**
- Ensure the office is organised, tidy, and stocked with essentials (stationery, printing supplies, refreshments, etc.).
- Carry out basic admin tasks (photocopying, filing, post handling, ordering supplies).
- Support wider team with scheduling, data entry, and reporting as required.
- Assist with preparing documents, letters, or communications for parents and partners.
**Collaboration**
- Work with Wraparound Coordinator to cross-check attendance vs payments.
- Provide feedback to Head Of QA and Business Manager on recurring customer issues.
- Support with ad-hoc administrative tasks.
**Skills & Attributes**
- Excellent communication skills (phone & written).
- Highly organised, proactive, and reliable.
- Comfortable handling payments and sensitive data.
- Ability to manage multiple priorities in a busy office.
- Attention to detail and problem-solving mindset.
**Measures of Success**
- Calls/tickets answered promptly and resolved effectively.
- Office environment well-maintained and stocked.
- Payments and records accurate and up to date.
- Staff supported with admin tasks and parents satisfied with service.
Pay: £12.21-£13.25 per hour
