Our CEO plays a lead role in our client relationships, as well as using his network to build contacts with potential new clients for GPC as well. Freeing up his time for this and supporting however required is the primary objective of the Executive Assistant role. It is an essential role for GPC and plays a big part in our success.

This job description sets out the key aspects of the Executive Assistant role, however a job description is not a box that you are put in. It is a definition of your core responsibilities. In a company like ours, you are encouraged and expected to contribute to many wider issues.

**Why the Job Exists**
- To free up time for the CEO to focus on their key responsibilities of leading the business and building strong client and new business relationships.

**Reporting and Communication Structure**
- This role reports to the CEO and supports the wider senior management team as required.

**What the Job Covers**
- Diary management, meeting coordination and minute taking, travel arrangement and related tasks for the CEO and as required, the GPC senior management team.

**Responsibilities**

**Executive Assistant**:

- Full diary management for the CEO & Founder - ensuring meetings are booked, confirmed and that CEO is aware of all changes.
- Assist with preparation, research and printouts etc for key meetings;
- Scheduling and coordinating attendees for both external (new business, recruitment) and internal (121, management and training) meetings.
- Scheduling and coordinating attendees for internal training webinars;
- Arrange internal or external meeting rooms as required for meetings;
- Managing business travel arrangements for all GPC UK employees - ensuring the best deal and obtaining all possible benefits available from loyalty points or similar promotions;
- Attending key meetings and taking comprehensive minutes
- Supporting with some personal admin duties for CEO to free up his time for the business growth;
- Supporting the wider senior management with urgent matters if required
- Ad hoc office management and admin support where required.

- Take initiative.
- Highly flexible, prepared to pick up duties outside their job scop

**Other Responsibilities**
- Act in good faith to the Company and its Shareholders at all times;

- Maintain confidentiality of all Meetings and respect all decisions taken.

**Performance review and personal development**

By the CEO on the basis of:

- Efficiency and organisation of CEO schedule;
- Helpfulness and responsiveness to requests;
- Efficiency and organisation of travel arrangement for CEO and other employees;
- Accuracy and timeliness of meeting minutes;
- Peer feedback from senior management;
- Overall relationship with other operating companies/departments;
- Interpersonal / communication skills;
- Being a team player;
- Being an effective coach/manager;
- Demonstrating the core values of Green Park Content;
- Working effectively with the UK Partnership.

**Job Types**: Full-time, Permanent

**Salary**: £35,000.00-£40,000.00 per year
