The key purpose of this HR Assistant role is to support departmental managers and colleagues within People & Culture with recruitment, co-ordination and administration services for the current transformation project.

**Description**

The key responsibilities of the HR Assistant will be:

- Responsible, in liaison with appropriate stakeholders including Advisers/Officers, BPs, Payroll and managers, for producing new employment contracts, contract amendments and redeployment contracts to staff including those at risk (due to upcoming closureof Rochester campus. Also responsible for setting up and amending employees' records on relevant HR systems.
- Act as the key point of contact for the end-to-end recruitment administration for the transition project.
- Set up new posts following approval (SAF process).
- Support managers in the recruitment process for established and temporary staff, including but not limited to:

- Placing advertisements and arranging interviews
- Liaising with recruitment agencies
- Correspondence with applicants, including answering any queries they may have
- Issuing contracts and new starter information
- Managing the on-boarding process including induction and probation information
- Ensure DBS checks and Right to Work checks are carried out, and that visa information is logged and monitored in line with relevant policies and processes
- Ensuring records of staff and payroll are handled in line with relevant HR and payroll processes.
- Supporting the P&C Assistants team with any business as usual recruitment as supporting managers in the recruitment staff for the transition project.
- Respond to queries from line managers and employees with basic information on contracts, and other people related matters (e.g. annual leave, pay rates, sick pay).
- Support with regular and one-off ad-hoc reports as requested.
- Assist with updating relevant team and department information on systems and records.
- Ensure processes are followed fully, are accurate and are timely in line with procedures and SLA's, liaising with relevant stakeholders as required.
- Ensure that all people related documentation and employee data is handled confidentially at all times.
- Comply with relevant data protection legislation, policies and procedures for paper and digital data, including destruction and maintenance of files and information.
- Process people-related data and information in accordance with agreed procedures e.g. ID card requests, expenses etc.
- Work with People and Culture Officers to ensure end of year processes are carried out effectively and efficiently
- Provide a general reception service for the P&C department ensuring that enquiries are dealt with effectively and efficiently, passing callers on to the relevant team member where appropriate.
- Raising purchase order requisitions.
- Assist with mail shots to colleagues.
- Ensure electronic communication is kept up to date and accurate.
- Undertake or provide support in project work as required.
