Office Sales Administrator at a Local Renewable Energy Company.

We have a vacancy for an Sales Administrator within our growing Renewable energy offices that deals with general, domestic and commercial enquiries for a range of renewable technology products such as air source and ground source heat pumps along with Solar Panels, EV car charging points and Solar PV hybrid battery systems.

As an important member of the team, you are expected to use a high degree of self-management and initiative and to maintain a high level of confidentiality.

The prime role is to provide enhanced support to his/her manager to enable them to operate at optimum efficiency. This will include, but will not be limited to, the main responsibilities given below.

**Main Responsibilities**
- To attend clients on the telephone when necessary to seek clarification of instructions.
- To maintain relevant electronic client records within the workflow process.
- Primarily, this role is to prepare correspondence and enquiry/installation documents through word processing and to ensure a high quality of documentation.
- To prepare mail and enclosures for despatch.
- To maintain and update the electronic filing systems.
- To use initiative to progress files within the limits of his/her own ability.
- To ensure that all client files are progressed expeditiously and that the clients are kept updated regularly.
- To undertake any specific training when required to do so and overall to have a responsibility towards self-development.
- Dealing with clients on a daily basis, both face to face and on the telephone.
- Running a caseload of files through a case management system from when enquiries are taken and received by a client through to completion. This will include amending documents that have previously been quoted and arrange for site survey visits.
- Dealing directly with client enquiries and handling client matters and correspondence.
- Dealing with the DNO and Suppliers to the company.
- Open new paper files.
- Uploading all ID and documents, as well as printing for paper file where applicable.
- Maintain spreadsheets.
- Filing Fact Finds.
- File PDQ slips with instructions whilst opening file.
- Contact existing and/or cancelled appointments to confirm or re book

**Person Specification**

**Essential Skills**
- Have a high level of confidentiality.
- Have an in-depth understanding of an office administration secretary role and process within the an office environment.
- Competent typing ability.
- Have excellent organisational and communication skills.
- Be able to organise, influence and monitor own workflows to achieve a high output in a busy department.
- A minimum of 2 years experience in a administrative/secretarial position or within a similar environment.

**Desirable Skills**
- Typing qualification - RSA level 2 or equivalent (not essential)

**Personal Attributes**
- Be reliable and diligent, with good attention to detail with good time keeping
- Self-motivation to work independently and as part of a team with a ‘can do’ attitude
- Good interpersonal skills
- A positive approach to working under pressure in a busy environment
- Methodical approach to tasks and problem solving

Pay: From £13.00 per hour

Expected hours: 40 - 42.5 per week
