Estates Accounts Assistant

Although not an exhaustive list, the role would encompass the following duties:
- Compile Year End Service Charge Accounts in accordance with the properties Service Charge Year End
- Print Certificate of Income & Expenditure reports, Income Analysis & Expenditure Analysis, Insurance, Reserve Fund, Section 20 and All Transactions’ reports from the database
- Calculate Service Charge Arrears, Current and Advance payments
- Calculate Year End apportionments for each tenant, and calculate whether the property has a Year End surplus or deficit. Check with Estates Manager what should be done with credit/deficit.
- Reconcile each property account
- Manage a service charge client relationship, including dealing with any queries
- Work with the Head of Estates to oversee financial management of the Estates Properties on Focus, including expenses in accordance with the financial budget
- Collate all reports and invoices for the property, signing a Managing Agents Declaration with regard to [TECH 031116], Residential Service Charge Accounts, published jointly by the professional accountancy bodies with ARMA and RICS.
- File the generated Certificate for each property in the year appropriate to the year end.
- Update files, setting up new property files and new category folders
- Reconcile each property monthly when the bank statement is received
- Provide financial updates throughout the year for each property when requested
- Archive the Service Charge Year End documents
- Process and enter service charge payments onto Focus
- Cash handling as and when needed
- Process tradesman’s invoices when received and make payment to the trade payables as authorized by the Head of Estates/Property Manager
- File invoices paid into the relevant service charge property
- Check the Nominal Ledger and reconcile each bank account on Focus
- Raising fee invoices monthly and collecting Management Fee invoices as a bulk transaction
- Any other reasonable duties which you are asked to do by the Director of the Company or the Director of Lettings and Office Manager.
