Business Support Assistant

The role is split between finance/accounts based work and administration/office management assistance.
Finance/accounts work:
- Sales Ledger activity including - processing incoming purchase orders, raising customer invoices/credit notes, collating supporting information in spreadsheets/PDF format, processing remittance advices when received and allocating customer payments
- Purchase Ledger activity including - issuing purchase orders (POs), processing supplier invoices/credit notes, setting up payments and issuing remittance advices
- Creating, checking and processing Associate Partners(Consultants) monthly project time and expense admin, checking receipts, VAT and calculations, making sure everything is authorised and matches against PO and compiling for submission to end client
- Processing Employee time, expenses & credit card transactions
- Recording of financial inputs and outputs in Sage
- Inputting and tracking data using Excel spreadsheets
- Setting up payments in Internet Banking ready for authorisation
- Monthly bank reconciliation
- Assisting with the production of the Monthly Information(MI) Pack
- Payroll processing support
- Producing reports in Sage
Office Management Assistance:
- Ordering office supplies
- Arranging & meeting servicing/maintenance people
- Managing room bookings
- Accounts and administration experience (minimum 1 year)
- Good working knowledge of MS Office, Adobe Acrobat and Sage 50 Accounts Professional, or similar accountancy package
- To undertake a UK Government Security Clearance successfully
- A confident, polite and professional manner
- Good written and verbal communication skills
- Ability to work independently with minimum supervision and as part of a team
- To be motivated and enthusiastic, flexible in their approach to work with a helpful nature
- Excellent attention to detail and organisational skills
- Own desk/working space at home as mainly home-based role with 1-2 days per week on average in the Maidenhead office
Vedette Consulting Limited is a management consultancy which enables clients to make optimal decisions in dynamic conditions of risk and uncertainty. It works with clients in government, industry and academia who operate in national and transnational defence and security sectors.
The Company is presently operating on a mainly ‘virtual’ basis, with a small Business Support Team undertaking all back-office functions. This consists of the Business Support Manager (BSM) who manages functions required to support the work of the operational staff (including finance, admin, HR,commercial, risk & compliance, IT, security and more, reporting into the relevant Board Lead), and the Business Support Assistant (BSA) who is an essential part of the team, providing support to a wide-range of tasks under the guidance of the BSM. Our current BSA is moving on and therefore we are looking to recruit someone to take on this important role.
We are looking for someone who can be flexible to accommodate business needs. In return, we can also be flexible on working hours to suit the individual, across the whole working week. Overtime may be required to help cover leave and additional workload.There is scope in the future to potentially move to full time if/when the business need warrants it and if the individual wanted to do so.
Benefits include: 25 days of annual leave per annum, in addition to Public & Bank Holidays; a 7% employer pension contribution, the option for salary sacrifice pension contributions, a home working allowance, the potential for annual bonus and share options based on company and individual performance in role. Training towards qualifications may also be funded by the Company.
