JOB PURPOSE To be responsible for all aspects of administration, working to deliver an effective and efficient services for our patients and GP Practices. To provide administrative support to the Service Coordinators on a day-to day basis, supporting all current and future work streams. Respond to and deal with any issues that arise, escalating to the Service Coordinator and/or Manager as necessary. The ability to work on own initiative, seeking advice and guidance when required.
Responsible for the day-to-day operation of the Enhanced Access Service, liaising with practices and providers of the service. Responsible for taking all queries regarding Enhanced Access and other STHC services liaising with the GP Practices and booking appointments if required. KNOWLEDGE AND EXPERIENCE Knowledge of secretarial and administrative procedures and systems, both routine and non-routine, Experience of Microsoft office, Outlook, Word, Excel and Powerpoint. Knowledge of the GP System EMIS would be desirable.
Communicate with patients as necessary with regard to the GP Enhanced Access service, for example sending did not attend notifications. Deal with all incoming and outgoing mail, including taking appropriate action. PLANNING AND ORGANISATION Provide ad-hoc training or organise training events for Practices in relation to the Enhanced Access Service and other STHC services, including booking venues, setting up and clearing rooms, organising delegates and supporting senior staff in delivery of training. Provide project support as and when required to senior staff.
POLICY AND SERVICE DEVELOPMENT Assist the Service Coordinators and other members of the Board/Senior Management team in development of Service Development/Policies. Develop protocols for own areas of work and suggest improvements to company policies or procedures where appropriate. Ensue STHC services run in line with service specifications, highlighting any issues or concerns to relevant senior staff as appropriate. FINANCIAL RESOURCES Ordering of office supplies, in liaison with Finance and HR Officers.
Responsibility for cross checking invoices and processing all claim forms from practices (GP Enhanced Access claims) ADMINISTRATIVE PROCEDURES Provide day to day administrative and operational support on specific projects, exercising initiative. Responsible for daily checking and correlating EMIS system to ensure that all GP Enhanced Access sessions are entered correctly in a timely manner, cross checking that the sessions have been completed, and dealing with any queries, resolving issues as they arise. Responsible for updating the Frequently Asked Questions and ensuring that Practices are kept informed of the Enhanced Access and other STHC service developments in a timely manner. Ensure all filing is completed promptly and in-line with information governance standards and all electronic folders are maintained.
General Administrative tasks for STHC, including photocopying, filing, laminating, scanning, shredding and binding of documents. Support the development of office systems for STHC. Attending training and meetings as and when required. Any other administrative tasks delegated by senior staff.
HUMAN RESOURCES Provide training to new staff as required in own areas of work. TRAVEL Must be able to travel independently throughout South Tyneside. This includes, if required to do so, obtaining, processing and/or using information held on a computer in a fair and lawful way, holding data only for the specified registered purposes and using or disclosing data only to authorised persons or organisations as instructed. Policies & Procedures: The post holder will be expected to comply with all statutory legislation, STHC governance framework and approved national and local policy.
