**Role**: Administrative Assistant
**Reporting To**: Lead to Cash Team Lead
The Administrative Assistant is responsible for supporting Radbury Double Glazing's lead-to-cash process by managing and updating leads and jobs in the system and performing various administrative support tasks. This role plays a key part in ensuring accurate data entry, efficient task management, and seamless coordination between various teams, all while maintaining a high standard of administrative support.
**Primary Responsibilities**
**Lead & Job Management**
- Log new leads into the system and ensure accurate, up-to-date records.
- Update and maintain the status of existing leads and jobs in the CRM system, ensuring all details are correct and complete.
- Collaborate with the teams to ensure that all lead and job information is accurately reflected and aligned in the system.
- Monitor the progress of jobs and communicate with the Operations Coordinator, Estimator and Surveyor to ensure smooth project flow.
**Administrative Support**
- Assist with the preparation and organisation of job files, including digital and physical documents.
- Provide general administrative support to the team as needed
**Communication & Coordination**
- Liaise with internal teams to ensure all relevant job information is available and up to date.
- Respond to customer inquiries and direct them to the appropriate team members for follow-up.
- Support the Operations Coordinator in ensuring job tasks are scheduled appropriately.
**System & Process Management**
- Ensure that all tasks are recorded and tracked within the CRM system, particularly for ongoing projects and leads.
- Assist in updating and refining processes for managing leads and jobs efficiently.
- Use Microsoft Office tools (Word, Excel, Outlook) and other internal software to support data management and communication tasks.
**Required Skills and Attributes**
- Strong attention to detail and accuracy in data entry and administrative tasks.
- Excellent organisational and multitasking skills, with the ability to manage multiple tasks simultaneously.
- Good interpersonal skills to coordinate effectively with internal teams and customers.
- Experience using CRM systems or the ability to quickly learn new software tools.
- Proficient in Microsoft Word, Excel, and Outlook.
- A proactive and adaptable approach to administrative work, with a strong focus on delivering high-quality support.
