**What We Are Looking For...**:
People Operations Administrator works as part of the People Operations team to deliver excellence on day-to-day matters. The role is the first point of contact for colleagues in Retail and HQ through People Operations shared inbox, supporting colleagues and managers with their everyday People queries and admin-related tasks.
Working with other member of People Operations and Payroll teams, this role ensures we provide a seamless experience to users of the People services. The role supports colleagues and managers with a wide range of basic queries from operational, system-related and processes-based queries to advising on company policies and processes.
People Operations Administrator quickly adapts to constant change in People processes, policies and procedures and looks for opportunities to streamline and ease current processes. The role deals with day-to-day queries and escalates more complex issues to People Operations Partner or People Operations Manager. They are a good communicator able to build trust & rapport quickly, can prioritise and work well under pressure.
**Key responsibilities**:
- End to end administration of the new starter process: preparing contracts and offer letters, sending out comms to new starters and line managers, setting up Oracle, updating SNOW tickets, adding colleagues on company private medical insurance scheme where applicable and keeping the New Starter Tracker up to date
- Administration of the Right to Work checks: sending out TrustID links, entering information on Oracle, following up outstanding actions from the weekly reports, supporting line managers with queries such as ECS checks, visa requirements, expired paperwork etc.
- Attending WTRI inductions (Retail and HQ) to introduce People Operations team and conduct right to work checks
- Administration of company references for new starters and leavers through RefNow and providing tenancy and mortgage references
- End to end administrator of the changes process: preparing paperwork, updating the system, changing benefits where applicable, updating SNOW tickets
- End to end administration of the leavers process: updating the systems, sending out leaver comms, keeping Leavers tracker up to date, updating SNOW tickets
- Supporting with family processes (maternity, paternity, adoption, baby loss etc.): advising line managers and colleagues on the processes, creating paperwork, keeping and maintaining information on the current Family log, updating Payroll of any changes
- Supporting with the long term sickness process: advising line managers and colleagues on the process, arranging OH visits, sharing reports, creating paperwork where necessary
- Supporting with People Operations retail training sessions
- Oracle support for colleagues and line managers: changing details, creating new positions or dealing with mass changes (i.e., company-wide Senior Sales to Team Leader role changes)
- People Operations LOTI hub: support with updating content, adding in new pages, guides and information
- Working closely with the wider People team, especially close working and engagement with Payroll and Talent Teams
- Ensuring compliance to processes and accurate paperwork for any changes to ensure a clear audit trail of approvals where necessary
- Excellent service and support to our customers (employees and managers)
**Knowledge and experience**:
- This is an entry level role and does not require any previous experience in HR / People functions.
- Knowledge or experience with Oracle is beneficial but not necessary as training is provided on the job.
