We are looking for a dedicated staff member to join our friendly Reception Team. We are looking for part time role of 30 hours, please see hours required below:
Tuesday 8am - 16:30pm

Wednesday 8am - 16:30pm

Thursday 9am - 17:30pm

Friday 10am - 16:30pm

Each day includes 1 hours unpaid lunch break

You will be employed through Winchester Rural South PCN but will work for Bishops Waltham Surgery

Job Title: Patient Co-ordinator

Reports to:
Patient Co-ordinator Supervisor, Deputy Practice Manager & Practice Manager

Job Purpose
- To provide excellent reception services for patients and other visitors attending or contacting the surgery.
- To provide efficient and accurate administration services for the surgery
- To ensure the accurate recording / coding of data for audit / review.
- To assist the Practice to achieve high quality patient services and successful financial targets by ensuring data is managed in the manner and to the targets which may be specified from time to time by the Partners.
- To comply with all requirements of the General Data Protection Regulations and Information governance at all times.

Main Responsibilities
- Undertake reception duties - including telephone calls, face to face contact with patients and ensure patient details are kept up to date on the computer system
- Issue patients repeat prescriptions and deal efficiently with any queries that may arise
- To scan correspondence and results on to the patients computer records
- Provide results to patients where appropriate within practice guidelines
- Deal with all new patient registration requests, make up new patient packs and register new patients
- To open and distribute post, to pull/file patients records and photocopy patients medical records when requested
- Carry out opening and lock up procedures
- To assist in audits and searches for the monthly and quarterly returns and to assist in evaluating audits to target and clarify reasons where targets not achieved - in line with QOF (Quality & Outcome Framework)
- Work with other members of the Patient Co-ordinator team to provide support
- Assistance in covering annual leave and sickness
- Saturday morning surgeries on a rota basis
- Any other duties in line with the above requested by the Patient Co-ordinator

- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
- In the performance of the duties outlined in this Job Description, the post
- holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
- Particular care must be taken when speaking on the telephone to ensure patient confidentiality at all times.

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, to include:

- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Reporting potential risks identified.
- Paying particular attention to the Health & Safety procedures in the dispensary.

Communication

The post-holder should recognise the importance of effective communication within the team and will strive to:

- Communicate effectively with other team members
- Communicate effectively with patients and carers
- Recognise people’s needs for alternative methods of communication and respond accordingly.
