An exciting opportunity has arisen to join the friendly and enthusiastic Information Rights Team. This post is for 37.5 hours per week, Monday to Friday. Part time hours will be considered.

We are looking for a highly motivated individual to join the team, the post holder must possess excellent administration and organisational skills and be able to adapt to the needs of the services. You will be expected to work as part of a small team of administrators.

Good communication skills are essential as you will be liaising with staff at all levels, as well as members of the public and external organisations. You will need to be confident to deal with a variety of challenges.

A high level of accuracy and attention to detail and be able to work well within strict guidelines.

The role in the main is responsible for responding to Subject Access requests and Freedom of Information requests for the Trust within the current legally recognised timeframes.

This includes screening the legitimacy of a requester, undertaking redaction processes in line with the Act(s) and ensuring professional communication to those who are requesting the information.

This role has direct patient contact and there is a need to maintain strict confidentiality in terms of what can be disclosed at appropriate times. The post holder will need to undertake a variety of analytical and administrative work relating to information rights and adherence to key performance indicators (i.e. responding within the relevant time periods).

To undertake the relevant training to ensure you have the correct skills and knowledge

The post holder will also provide secretarial and administrative support if required and be efficient with IT packages, ability to converse with internal and external services ad have a pleasant telephone manner and able to respond sensitively.

To respond to information requests within the current legally recognised timeframes. This will involve analysing electronic and paper records and producing documents for Service Users, Solicitors, Police, Government Bodies etc.

Logging all requests for information on a database and keeping the database updated at each step of the process.

Screening the legitimacy of the requester, which will involve conducting checks that the requestor has provided the correct consent/identification.

Tailoring each individual request in relation to the information requested. This will sometimes involve analysing several systems and paper medical records to identify the specific information required.

Liaising with secretarial staff and consultants to ensure that authorisation is received so that requests are completed within one calendar month of receipt.

Undertake the relevant training to ensure you have the correct skills and knowledge to investigate and be proficient in the use of an extensive range of Trust I.T systems relevant to obtain Subject Access Request Information.

Ability to work under a very high degree of pressure in sometimes distressing situations (i.e. notes for Police, Court etic), including meeting unpredictable deadlines, dealing with conflicting demands and priorities, using your own initiative to respond independently to difficult situations, and organising your own workload.

Support the Information Rights Manager in ensuring that the whole team met the Key Performance indicators in responding to all requests in a timely manner.
