A new exciting opportunity has arisen at Fairchildes Academy Community Trust as we centralise the finance function across the trust. We are seeking to appoint a Senior Finance Officer who will have overall responsibility for the efficient and secure administrationof the school’s finances on a day to day basis, reporting to and in liaison with the Finance & Business Director. The trust’s financial year runs from 1st September - 31st August, it is therefore expected that the post holder will be available to work duringthe summer holidays, particularly in August; exact dates to be negotiated and agreed with the Finance Director. **Purpose of the post**: - The day to day administration of both restricted and unrestricted funds - Ensure the adherence to financial regulations - Financial administration of both residential and day trips **Responsibilities of the post**: **Financial Regulations and Internal Control Procedures** - **Finance responsibility of 3 schools within the trust**: - To prepare and present appropriate finance reports to budget holders, trip organisers and the Finance Director as requested. - Ensure school staff adhere to the financial policies and procedures as agreed by the Trust, and advise teaching and support staff on the content of the policies. - To undertake monthly reconciliation of the school’s financial systems and accounts. - Prepare and ensure completion of month end documents as required by the Finance Director. - Assist in the completion of year end documentation and audit file as required by the Finance Director. - Maintenance and regular reconciliation of bank accounts. - Ensure the accuracy of all transactions and entries into the financial accounting system. - Process all transactions in a timely and efficient manner. - Ensuring staff adhere to the best value policy when ordering goods and services. **Purchase and Sales Ledger** - Managing the purchase ledger activity and credit control. - Overseeing the raising of orders of the individual schools. - Ordering of good and services (in absence of school finance team member). - Placing online orders where necessary (in absence of school finance team member) - Accurate coding and processing of invoices - Matching invoices received to outstanding - Investigation of any differences between invoices and orders - Analysing and reconciling supplier balances - Issuing reports to budget holders regarding budget remaining, commitments and outstanding orders and goods. - Preparing and reviewing BACS run - Bank reconciliation - Journal entry. - Raising income invoices for LA funding, letting etc. - Checking Debtors account - Checking the quality and accuracy of staff expense claims - Other ad hoc finance task - The duties above are neither exclusive nor exhaustive and the post holder may be required by the Finance Director to carry out appropriate duties within the context of the job, skills and grade **Key Accountabilities** **Data Protection** - Being aware of the School/Academy’s legal obligations under the Data Protection Act 2018 (the "2018 Act") and the EU General Data Protection Regulation ("GDPR") for the security, accuracy and relevance of personal data held, ensuring that all administrativeand financial processes also comply. - Maintaining customer records and archive systems in accordance with departmental procedures and policies as well as statutory requirements. - Treating all information acquired through employment, both formally and informally, in accordance with the **Workforce Data Protection Policy**. **Confidentiality** - Treating all information acquired through employment, both formally and informally, in confidence. **Equalities and Diversity** The Trust has a strong commitment to achieving equality of opportunity in its services to the community and in the employment of people.
