The role will be working to support a senior level Director by ensuring the management of his day-to-day affairs and effective useof his time. Responsibilities;
*Provide full administrative and secretarial support at a Senior level to the Director of International & special projects to ensure the smooth management of his day-to-day affairs, and most effective use of his time. Handle sensitive and complex issues ina professional and objective manner.
*Manage the Director of International & Special projects electronic diary, assessing priority of appointments and reallocation as necessary and all travel arrangements (including visas/accommodation).
*Process correspondence, ensuring that incoming correspondence is dealt with as appropriate and to maintain office systems, including data management and filing.
*Screen calls, enquiries and requests, and deal with them when appropriate. Assist in researching and following up with action on matters which fall within the Directors responsibility - chasing responses, triggering follow-up action.
*Attend all meetings and produce documents, briefing papers, reports, and presentations for the Director. Organise meetings and ensure that the Director is well prepared for those meetings by preparing agendas, pre-meeting briefings and meeting papers.
*Any other duties as may reasonably be required by the Director to support the team and wider organisation.
Requirements;
*At least 2 years PA experience, supporting individuals at Director level.
*Excellent shorthand writing skills for taking minutes.
*Excellent reporting skills.
*Exceptional record management skills.
*Good communication skills.
*Basic knowledge of employment law.
*Ability to work to deadlines and juggle a varied and busy workload.
*Team player.
*Competent with Microsoft Office.
*Strong level of spelling and grammar.
