20 hours per week, 4 hours per day - 10.00am until 2.00pm
**Main duties**
**1. **Diary Management**:
- Manage the diary of for the Managing Director, ensuring that all appointments and meetings are scheduled and updated accordingly.
- Coordinate team members' diaries for events and meetings.
**2. **Travel Management**:
- Schedule and book all company travel arrangements.
**3. Event Management**:
- Arrange all company social events, strategy days, and other events as required.
- Liaise directly with vendors and negotiate rates.
- Manage and oversee the logistics of all events.

**Post Management**:
- Ensure that all company mail is actioned and distributed to the appropriate team members.
**6. Social Media Marketing**:
- Schedule campaigns and respond to all sales enquiries through social media platforms.

**CRM Management**:
- Set up and ongoing management of a CRM system, to track client enquiries and manage client relationships.
**8. Internal Processes & Policies**:
- Develop, maintain, and organise internal process notes and policies to ensure that they are up-to-date and accessible to all team members.
**9. Tracking Client Enquiries**:
- Track all client enquiries via the website and social media, arranging follow-up meetings as appropriate.
**11. First Point of Contact**:
- Act as the first point of contact for the account inbox and social media messages.
- Follow up with scheduling sales meetings for potential clients to meet with the Managing Director and team members as required.
**12. Networking Events and Marketing Exhibitions**:
- Arrange and set up all company networking events and marketing exhibitions.
- Travel to events as required.
**13. Minute-Taking**:
- Take minutes at team and client meetings, ensuring accurate records are kept and actions are followed up on.
To support the needs of the business the PA/Marketing Assistant may be required to take on additional tasks and responsibilities as needed.
**Experience Requirements**:
- Proven experience as an Administrative and Marketing Assistant or similar role.
- Experience in diary management and event coordination.
- Proficiency in Microsoft Office Suite and social media platforms.
- Ability to take accurate minutes during meetings.
- Excellent written and verbal communication skills.
- Strong organisational skills and attention to detail.
- Ability to work well under pressure and prioritise tasks effectively.
- Good interpersonal skills and ability to work as part of a team.
- A positive and proactive attitude.
