Production Coordinator

Job Introduction
We are seeking a Production Coordinator to join our award-winning production management team at BBC Studios Audio.

This exciting role will see you embedded within the audio production team. On a weekly basis, this would involve attending recordings across some of London's most iconic recording studios and venues, such as the BBC Radio Theatre. There may be out of London recordings as well.

We are an exciting, growing commercial audio production company that specialises in making comedy and entertainment programmes. Based in the iconic Television Centre, Wood Lane in London, we are at the heart of BBC Studios.

We make about 150 hours of radio and audio content a year, mainly for BBC Radio 4 but also BBC Sounds and increasingly commercial commissioners, including Spotify. We produce long-running and much loved titles such as The News Quiz, The Now Show, I’m Sorry I Haven’t A Clue and Just a Minute, alongside newer shows like Sindhustan, Bridget Christie: Mortal, Sarah Kendalls' Australian Trilogy, Alexei Sayle’s Imaginary Sandwich Bar and Daliso Chaponda's Citizen of Nowhere.

We make all types of comedy and entertainment from satire (Dead Ringers) to sitcoms (Conversations from a Long Marriage, Ed Reardon's Week) to factual entertainment/comedy (Simon Evans Goes to Market, Museum of Curiosity), sketch shows (John Finnemore's Souvenir Programme) and stand-up shows (Mark Steel’s In Town, Ken Cheng: Chinese Comedian).

Podcast-wise we also produce Eddie Hearn: No Passion No Point for 5Live, PRESSED, spin-off audio drama Doctor Who: Redacted, and Inside Inside No 9 (the companion podcast for the TV programme) for BBC Sounds, and Rose and Rosie: Parental Guidance for Spotify, with various others under commission or in development.

Main Responsibilities

Job Purpose

To coordinate audio productions end-to-end, from onsite setup and presence at recordings to post-production and delivery, acting as the focal point of contact between production team members, talent, crew, venues and suppliers, the production office and sometimes audiences and live events. This will include providing support to the Junior Production Manager, Production Executive & Producers in securing and managing the arrangements for all the resources needed for productions and will require you to work on your own initiative as well as to be a part of a small production team.

The Co-ordinator will have an understanding of and commitment to the aims of Production; will be receptive to the needs of the full range of programmes, new technologies and new ways of working.

Main Responsibilities
- Setting up and booking all technical facilities, equipment and venues for live recordings, booking crew, obtaining quotes from suppliers, negotiating deals as and when appropriate, contacting talent agents and monitoring and reconciling production spend
- Act as the main point of contact for the receipt and communication of information to and from the production team, and all other internal / external departments and contributors, including making all arrangements and briefing them concerning the Producer’s intentions. This may also include assisting the Producer in the finding and securing of contributors or talent and contracting them as required
- To co-ordinate all necessary clearances e.g. music, archive, performance and literary copyright for the programme, including for commercial use, and ensure that written records of any agreements are maintained in systems including Proteus
- To physically assist in the studio and on location during rehearsals and recordings, and where required undertake limited operational duties under supervision
- To locate and book accommodation, travel and transport for artists, contributors & crew
- Casting and talent availability checks, liaising with agents to ensure good communication across the production
- Arranging child licensing
- Script supervision and script formatting
- To collate information required to produce call sheets, schedules & risk assessments and undertake all programme administration routines. This will include completing PasBs (Programmes as Broadcast using Proteus and other systems), music reporting, risk assessments including COVID measures and awareness of production and BBC guidelines - communicating measures to teams and talent and assisting Producer with maintaining compliance
- To ensure that all necessary information is appropriately documented for easy reference in production folders
- Final programme delivery to networks or publishers
- To have an awareness and understanding of the financial constraints of each programme budget when finding resources and negotiating deals, working to net budgets
- Undertake all financial administrative duties for productions including raising programme numbers, raising requisitions using MyBusiness, contracting crew via Smartbook, robust recording and monitoring of programme spend in cost logs, use of SAP reports, updating monthly
