Dental Waiting List Administrator

The post holder will work within a large team supporting the Waiting
List and outpatient operations for Dental as part of the Planned Care
Division in the Trust. He/ she will liaise with the multi-disciplinary
team, internal departments, external agencies and other service
users to ensure continuity in achieving excellence in patient care
and to ensure that the performance targets for outpatient waiting
lists, waiting times and clinic capacity/appointments are met and
monitored. The post holder will be expected to rotate on a regular
basis between telephony, administrative and reception duties and
will work a variety of shift patterns in line with service needs.
An opportunity has arisen within the Dental Outpatients Team for a Waiting List Administrator (37.5 hrs per week). The post holder will work within the Dental Waiting List Office liaising with the multi-disciplinary team, internal departments, external agencies and other service users to ensure continuity in achieving excellence in patient care. They will also work to ensure that the performance targets for outpatient waiting times, clinic capacity and appointments are met and monitored. The post holder will be expected to rotate on a regular basis between telephony and other administrative duties in line with service needs.
We are looking for an experienced, highly motivated individual who will be required to work as part of a busy team. This is a demanding role, and we require proactive and confident people to fill the post.
Excellent communication, organisational and prioritising skills are essential as you will be working closely with the management and clinical teams to support the Dental Outpatient Team to manage its critical access targets relating to 18 weeks.

**MAIN DUTIES AND RESPONSIBILITIES**:
Dental Waiting List and Outpatient Processes
- To be responsible through carrying out administrative duties in the
Dental Waiting List Office and designated reception areas, for ensuring
the day-to-day co-ordination of all Dental new outpatient attendances
and specified waiting list bookings, ensuring a high quality, efficient and
patient centred service.
- To fully involve the multidisciplinary teams in the planning of outpatient
appointments, ensuring that the patient is provided with appropriate
information regarding their attendance.
- Maintain thorough and accurate records of all correspondence with
patients throughout their outpatient process.
- To ensure that patients are booked into the appropriate appointment
service and liaise with the clinical staff as required, ensuring the clinic
runs smoothly and effectively.
- Responsible for ensuring that outpatient waiting times across the
specialities are constantly monitored in line with performance targets
- Responsible for recognising potential future breaches to waiting times
targets ensuring these are brought to the appropriate management
contact within the Dental Outpatient Waiting List team.
- Responsible for advising the Dental Waiting List Supervisor and Dental
Waiting List Co-ordinator of capacity issues that might negatively
impact on patient appointment processes.
- Responsible for ensuring that all referrals and outpatient appointment
requests are processed in line with national and departmental
procedures, including ‘two week’ waits.
- To manage waiting list activity and outpatient attendances using Trust
IT systems (i.e., PiMs and Docman), other associate IT systems (i.e.
Galaxy, Medicode) and Trust activity reports (i.e., Patient Tracking List
Report) and action any errors.
