This is a key role providing a confidential and professional service in support of the school’s central administrative team.

The post holder will have responsibility to ensure it provides the schools with an excellent administrative support function as well as being the primary point of reference for staff, pupils, parents, and visitors should they require further information.The ability to multitask and work using your initiative are key attributes for this role along with the importance of confidentiality and safeguarding.

As post holder, you will hold a key role within a busy department. You will carry out a wide range and varied administrative duties working closely with the wider schools and reporting directly to the Principal’s PA.

**Key Duties and Responsibilities**:

- Provide a full administrative service to the Senior School and assist with the smooth running of the school office.
- Ensure all enquiries are dealt with effectively and efficiently i.e., taking messages, answering the telephone etc.
- Keep the schools Database (iSAMS) up to date as required by the role.
- Assist with registration of pupils (Years 7 - 13) on a morning and afternoon basis, noting any unauthorised absences and contacting and notifying parents.
- Provide secretarial support to teaching staff as and when required.
- Assist with the transport arrangements for children including emergency contact forms.
- Assist with the organisation of pupils’ manual records, reports, exam certificates.
- Assist the PA/Office Manager with all administration duties.
- Provide event administration support as and when required including booking rooms, sending out invitations/letters, catering requirements, as well as supporting in person at the events.
- Monitor and manage all stationery resources and undertake audits as required.
- Provide general reprographic support for the Senior School including copying, collating, binding and laminating work as required and according to the Staff Handbook.
- Managing and distributing incoming and outgoing post.
- Provide basic first aid (training will be given as necessary) as and when required, using the first aid bag provided and contacting the school’s nurse for assistance as required.

**Person Specification**

The successful applicant should possess the following experience, qualifications, and qualities:

- Hold 5 GCSEs (or equivalent) grade A-C or equivalent in English and Mathematics.
- Business Administration qualification or further/higher educated is desirable.
- Previous experience of providing high-level administrative/secretarial support in a busy and confidential environment.
- Able to relate and communicate effectively to pupils, parents, and colleagues in a professional capacity.
- Experience of a wide range of office equipment including ICT and database systems.
- Able to set up, develop and maintain administrative systems, including auditing and monitoring data.
- Knowledge and understanding of safeguarding within schools.
- Able to show initiative and prioritise own work and that of others even when under pressure.
- Able to work flexibly to support others and respond to unplanned situations.
- Articulate and approachable with excellent communication skills, both verbally and in writing.
- Highly organised with the ability to anticipate and manage workload in a complex and changing environment.
- Commitment to the highest standards of child protection and safeguarding.
- Recognition of the importance of personal responsibility for health and safety
- The ability to ensure an inclusive environment, taking account of the richness and diversity of the school’s community.

**Hours**:
Monday to Friday, 37 hours per week, term time only with some flexibility to attend events.
