Description

We are currently looking for a **Senior Coordinator** to join our team, based in Oxfordshire. This role will involve providing administrative support, ensuring quality documentation, and professional communications in a timely and friendly manner.

**Principal Accountabilities** will include, but are not limited to:

- Contributing to customer proposal development, tracking and data entry of sales leads and opportunities for the broader team.
- Liaison with sales for any business development opportunities that are identified.
- Helping to prepare customer presentations and support documentation (final approval by the manager).
- Coordination of the team on a daily basis.
- Organising and implementing effective administrative systems and procedures.
- Preparing and maintaining relevant work records for the team, reviews documents, expense reports, timesheets, vacation, tracks document control etc.
- Responds to routine/complex client questions and ensures customers are responding within designated timelines.
- Primary contact to business leaders for gathering data related to customers, market data and special projects, as needed for key and complex accounts.
- Operate within company authorization levels, HR and company policies, health & safety procedures and all relevant standards of compliance.
- Carry out other duties/projects as maybe required from time to time.
- Maintain a driving licence and ability to travel where role requires it for proper performance of duties.
- Provides for smooth day-to-day flow of communications within the team including responding to routine enquiries and communicating with established clients to support ongoing projects.
- Responds to routine/complex client questions and ensures customers are responding within designated timelines.
- Coordinates data input within the team that may include customer info, customer job, work orders, scheduling and other client related information. Manages key account and other complex client data and interactions across service areas.
- Draft, edit and prepare correspondence, reports and other material using word processing, spreadsheets and/or databases. Creates operational reports to support business as needed.
- Prepares and maintains relevant work records for the team, reviews documents, expense reports, timesheets, vacation, tracks document control etc.
- Monitoring of outgoing/incoming invoices; sending for payment to the financial department;
- May act as a liaison for area of responsibility (AOR) with internal and external stakeholders.

- Strong Secondary education results
- 3 years (preferred) of administrative or customer service experience; leadership and/or process/system expertise and ability to link activities logístically; ability to prioritize workload as well as delegate work as needed; ability to train new hires and entry-level peers.
- Preferred background or strong interest in the food industry
- Proficient with Microsoft Office Suite and other IT platforms.
- Ability to learn quickly and develop relevant technical knowledge to escalate challenges and risks
- Exemplary communication skills.
- Exceptional attention to detail.
- Ability to work independently and meet deadlines.
- Demonstrated organizational and prioritization skills.
