The Professional and Architectural and Building Surveying (ABS) teams in Exeter are looking for dedicated supportfor their teams. The Exeter Professional fee-earning team is made up of two Directors and three Surveyors and the ABS fee-earning team is made up of two Building Surveyors with one Architectural Technicians/Draftsman.
You will be supporting both teams in a busy and friendly office.The work is wide-ranging and varied and will include arranging appointments, assisting with compliance, word processing, report formatting and processing invoices. Attention to detail and documentpresentation will be a key part of the role.
**Salary: **£23,500 to £25,000 depending on experience
**Key Responsibilities of the Role**
- In terms of the Professional team:
- _
- Audio and copy typing and general administrative tasks.
- Providing full administrative support to a team of surveyors including those based in other offices from time to time.
- Typing correspondence and reports to a high standard.
- Updating and/or producing schedules, presentations and general data records.
- Regular management of online data including; creating jobs and invoices and other online records.
- Assisting with compliance matters.
- Diary management including travel/hotels and arranging meetings.
- Filing and archiving.
- Answering phones and dealing with enquiries or taking messages.
- Open and action or distribute all incoming mail.
- Be proactive to be able to complete personal workload without supervision.
- Researching and cataloging comparable evidence for valuations in a disciplined way.
- Use of LandApp software to produce plans for reports.
- Undertaking due diligence research for the fee earners and the ability to make judgements as to the relevance of the research and what is required.
- Pulling together and formatting reports and valuations to a high standard.
- In terms of the ABS team:
- _
- Weekly review of the job tracker/monitoring & updating.
- Weekly review of debtors.
- Setting up jobs. COI and AML checks - putting on system.
- Fortnightly review updating of fee forecast.
- Drafting fees/collation of costs and disbursements.
- Logging fees on the system.
- Transcribing dictated long letters or site-derived reports/survey reports/quinquennial inspections.
- Co-ordinating/formatting reports including adding photo captions/drawings and presenting and pulling them together to a high standard.
- Collating documents and logging Planning Applications and Applications to Local Building Control on the planning portal.
- Completing contract instructions in building contracts.
- Prepare monthly sequential certificates for payment.
- Typing and issuing minutes for meetings (contract/design) meetings.
- In addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time._
**Skills, Knowledge and Experience**
- Fast & accurate audio and copy typing.
- Excellent and advanced IT skills - Microsoft Word, Excel, Office, Outlook, LandApp etc.
- High level of word processing and document presentation skills with an attention to detail.
- Excellent organisation, coordination and prioritisation skills.
- Ability to type substantial reports (sometimes in excess of 250 pages) in a quick and efficient manner.
- Professional and confident telephone manner.
- Good verbal and written communication skills with a good understanding of grammar and syntax.
- Excellent time management.
- Ability to multitask and to work accurately and effectively under pressure.
- Ability to work as part of a team and to understand team dynamics.
- Previous experience working in an office environment is essential.
- Maintain a high level of professionalism when dealing with clients and colleagues.
