Medical Education Undergraduate Administrator

The Medical Education Undergraduate Administrator will join our growing team who are responsible for organising our medical student attachments and teaching programmes. You will support the Undergraduate Co-ordinator and Manager to ensure the quality of our programmes, working with students to improve their experience and providing high level administrative support to the Trust in relation to the delivery of undergraduate medical education.
The team comprises of the Director of Undergraduate Medical Education, The Undergraduate Programme Manager, Undergraduate Programme Coordinator and three Undergraduate Administrators. There are also a small group of education Fellows who deliver teaching to the Medical Students.
- Provide high level administrative support for the delivery of the undergraduate teaching in Buckinghamshire Healthcare NHS Trust (BHT).
- Be expected to work on their own initiative to ensure administration and personal assistance is provided in relation to timetabling, teaching and support to Medical Undergraduate students and the faculty.
- Work closely with other UG team members and block leads to prepare timetables on time.
- Support initiatives to monitor student engagement and attendance.
- Assist the UG programme manager in executing induction for all medical students.
- Ensure timetables and resources are accurately uploaded onto extant platforms.
- Organise and attend regular meetings regarding undergraduate training and take minutes, as necessary.
- Support UG management to ensure all necessary data and information is readily available.
- Support management with any projects as agreed with line management.
- Prepare course information, lecture programme timetables, including associated room bookings and hospitality, as necessary.
- Check that adequate stocks of equipment and consumables are available for training and report to management if not.
- Be available for medical student enquiries and deal with a timely manner if appropriate.
- Know effective routes for support to provide pastoral care and support to medical students and escalate if appropriate.
- Deal with day-to-day trainee and Clinical Tutor issues, enquiries and changes for all aspects of the curriculum.
