The Community Independence Service (CIS) provides planned and unplanned nursing and therapy interventions for older residents who have had a recent deterioration in their physical health and is run jointly between West London NHS Trust and CNWL Foundation Trust across the three inner London Boroughs. We are looking to recruit an enthusiastic and self-motivated person, who will be an integral member of the Hammersmith & Fulham team.

This role is busy and diverse with no two days the same, requiring someone with excellent communication skills, literacy and numeracy, a solid understanding of Microsoft Office packages, high level organisational skills and an ability to manage and prioritise their own workload to meet agreed deadlines and competing priorities. The role involves collaboration with both internal and external colleagues, as well as stakeholders across the system.

Working as a member of the Community Independence Service you will contribute to the running of and providing administrative support for the Rapid and Rehabilitation Pathways.

Your duties will include liaising with both internal staff and external agencies. You will have fast and accurate copy and audio typing skills and experience of taking comprehensive minutes at meetings. You will order and manage inventory of supplies, such as stationery, personal protective and IT equipment as well as support the induction of new members of staff into the team. You will keep weekly rotas up to date, liaising with and supporting colleagues in the other boroughs to meet the demands of the service.

As much of the team are out in the community treating local residents in their home, there is a degree of self-directed duties and frequent interruptions, therefore it is key to have the ability to work using your own initiative as well as being a team player, with excellent interpersonal skills.

**Key Result Areas & Performance**:
To support the activities of the Community Independence Service by undertaking a wide range of administrative tasks including but not limited to:

- Take initial responsibility for the local resolution of problems that may arise with staff/clients. To deal with complaints according to the policies and procedures of West London NHS Trust’s lead partner, Central and North West London NHS Trust.
- To collect, process, distribute incoming mail.
- General photocopying, scanning and filing of confidential and non-confidential information
- To utilise the relevant IT systems to enter and retrieve data ensuring all details are accurately recorded in a timely manner.
- To carry out smart card re-authentication as appropriate.
- Maintain and manage departmental filing systems including electronic.
- To take part and support the team in organising events, meetings and training sessions. Support the preparation and distribution of materials.
- Organise and maintain notice boards with relevant and updated information and coordinate the departmental learning resources.
- To contribute to the collation and presentation of information for statistical reports and audits in a timely manner. Create and maintain tables and spreadsheets to record and present information.
- Support with transcribing and editing clinical and non-clinical documents if appropriate, reports, correspondence and other papers within agreed time scales and to agreed standards.
- Take and transcribe formal/informal minutes and circulate accordingly.
- Support and feed in to the positive reporting system for the team which involves records of sickness absence, annual, study and other leave and submit accurate returns to the Payroll function.
- Support the ordering, monitoring and maintenance of stationery and stock. Daily monitoring of required temperature checks and rotation of clinical stock as appropriate.
