We are looking for a Technical Training Administrator to join our Training Services Team in Poole on a 12 month fixed term Maternity cover contract. The Training Services department provides training for all parts of the business, including Field Services. The training is primarily technical i.e product and system based, covering operation, installation, commissioning and maintenance. In addition, courses are delivered on non-product specific topics such as Electrical Safety, IET Regulations etc. as well as other skill courses where relevant. Courses are delivered at Poole utilising a purpose built training facility, in the regional offices, or at customer premises at home and abroad.
**The key areas of responsibility for this post will include**:
- Help manage, maintain, administer, and organise the trainer and course scheduling to ensure the smooth running of the training services department.
- Manage and administer all training bookings to ensure the compilation and distribution of joining instructions to prospective attendees.
- Training course organisation to ensure lecture room facilities and lunch arrangements are in place to specific course requirements.
- Administer and monitor end of course reports and arrange for distribution of reports and certificates.
- Ensure that result details are entered into the training and online relevant data bases.
- Arranging travel and car hire arrangements, and suitable hotel accommodation for lecturers and course attendees, as required.
- Provide technical documentation and manage the technical library.
- Completing professional body membership forms.
- Complete and monitor Finance reporting.
- Ensure timely and accurate management of timesheets and costs.
- Closing orders including liaising with other departments including sales.
- Helping to complete quotes and tenders.
- Medicals process for new starters and change of position (start to finish).
- ECS invigilator status, Fire Marshall and ECC.
- DAMEX checks for all customers which have direct impact on company security and Brand.
- Procurement of kit and equipment (cost comparisons and ordering).
**What do you need to qualify for this role**
- 5 GCSE grade C or above to include English and Mathematics or equivalent experience in a similar role
- NVQ in administration and/or RSA word processing qualifications (desirable)
- Be someone who can work within a team and prioritise multiple simultaneous tasks while maintaining outstanding customer service.
- Good communicator - confident working with people at all levels within the organisation both on phone and in writing.
- You have great attention to detail and focus on quality and continuous improvement.
