We are looking for a highly motivated and enthusiastic individual to provide project and programme support to the National Pharmacy team. This programme of work sits within the HEE Directorate of Education and Quality and is part of the Initial Education and Training of Pharmacists reform.

The Project Support Officer will work with the Senior Project Manager and Project Manager to oversee the business hub function including project tracking, financial tracking, secretariat, team administration, monitoring and reporting. Regular interaction with and support of a wide range of internal and external stakeholders will also be required.

**The post holder will**:

- Support the programme to develop business plans, budget and performance monitoring, risk management and governance processes.
- Support financial processes by raising Purchase Orders and reconciling budgets (Oracle experience desirable)
- Collate and manage a range of datasets. In particular, project trackers, project registers and action logs to ensure the project management information and registers are up to date within budget.
- Track project plans and actions across the team, highlighting potential risks and delays in delivery
- Co-ordinate internal and external meetings for the team including calendar invites, agendas, papers and minutes
- Liaise with appropriate corporate functions (i.e IT, Finance, HR) to ensure the Team is compliant with policies and has the support required. Be a point of contact for a range of internal colleagues and senior managers.
- Regularly liaise with and negotiate with senior stakeholders and their offices on difficult and controversial issues

Engaging People/Key Working relationships
- The post holder will be required to maintain constructive relationships with a broad range of internal and external stakeholders.
- Participate in relevant internal and external working groups/projects, services and initiatives to provide, information and analytical advice and expertise.
- Develop and implement data collection systems that will provide accurate and timely data.
- Present information and issues to team members, explaining sometimes complex issues, to a wide range of internal and external stakeholders.
- To liaise with other support officers to share best practice.
- Nurture key relationships with senior and non-senior individuals and help maintain networks.

Delivering Results/Functional Responsibilities

Project Management
- Support the Project Manager and the Management Team to commission all HR requirements within the team seeing them through from beginning to end.
- Work on behalf of senior colleagues to support the development and implementation of commission and quality projects/functions, involving analysis and interpretation of information from a wide range of sources.
- Undertake HR and other project work as required by the Education & Quality Directorate, often linking closely with colleagues in other Directorates.

Financial and Physical Resources
- Contribute to the financial delivery of the Business Team, ensuring value for money and efficient and effective delivery of HEE’s advisory functions.
- Develop, monitor and maintain effective systems to evaluate the delivery of the specific projects/functions within the resources available.
- Have an oversight of aspects of the team budgets.
