**Job Title**: Data Administrator

**Reports to**: Office Manager

Bury C of E High School is looking for an Administrator (Data) to join our team.

**Main Objectives of Role**:

- Providing professional, courteous and customer focused administrative support services to all stakeholders including students, staff, parents, and other visitors.
- To organise and maintain the use of information systems.
- To provide in school data administrative support to the central Data Manager and school staff.

**Organisation**
- To contribute to the development and implementation of administrative services.
- To assist the Office Manager and in their absence, deputise to ensure established procedures are adhered to.
- In conjunction with the office manager set up the academic year and pastoral structure and appropriate pupil groupings on the school’s management information system.
- To contribute to the scheduling, organisation and co-ordination of the main office’s workflows.
- Ensure all visitors entering the building: meet the Academy’s safeguarding requirements, know the Academy’s emergency evacuation procedure, and are issued with a visitor badge and instructions.
- Take a role in the school’s emergency evacuation procedures, as required.

**Administration**
- To ensure pupil records are accurate and up to date, including recording and notification of pupil absences’, liaising where necessary with the school attendance officer and undertaking an annual data cleansing exercise.
- Maintain the admissions register.
- To be responsible for the accurate recording of FSM eligibility dealing with queries, liaising with relevant staff to ensure they are up to date with any changes.
- In conjunction with the office manager assist with the administrative procedures relating to new intake admissions to ensure a smooth transfer from primary to secondary.
- To assist the Pastoral department with the transition of pupils on and off roll as directed.
- Produce reports, lists/ information/ data as required for multiple audiences.
- Maintain high standards of communication with parents using school IT and mail systems.
- Use the school’s online payment system (ParentPay) to provide parents with log-in information and answer queries where appropriate.
- Provide general administrative support to the school across all disciplines, this includes electronic filing systems, responding to generic inboxes and first line response for telephone calls, responding to routine enquiries and forwarding on where relevant.
- Input and maintain up to date and accurate paper and computerised record/information systems including scanning and uploading documents on the school’s management information system and downloading as appropriate files from the DfE website.
- Respond to requests for support from colleagues and contact the relevant member of SLT/staff to respond when support is requested e.g., first aid/SLT/pupils support rota.
- Provide administrative and organisational support to all stakeholders as directed by the Office Manager and where applicable central Data Manager.
- Undertake typing and word-processing and other IT based tasks, such as printing and distributing letters and provide routine clerical support.
- To undertake reception duties, when necessary.
- Open mail, take delivery of items and notify relevant recipients.

**Data**
- Ensure pupil performance data (what data) is collected and entered in the management information system in line with assessment schedule deadlines. Where necessary provide support to staff to meet these deadlines, ensuring Heads of Department are aware of looming deadlines, what information is required and how to enter it in the correct places
- Provide staff with access to the relevant mark sheets, at the correct time.
- Where relevant, accurately and efficiently enter student assessment data into relevant management information systems.
- Under the direction of the Trust Data Manager, amend and format our school’s pupil mark sheets to enable data comparison across the Trust.

**Resources**
- Operate relevant equipment/complex ICT packages (e.g., word, excel, databases, spreadsheets, Internet, school gate system.
- Assist in maintaining the stock of administrative supplies.

**General**
- Work collaboratively with a range of internal and external partners, demonstrating a positive ‘can do’ attitude and working as one team for the wider ‘team academy’.
- Limited flexibility with working hours including assisting with after-school events and on occasions other commitments beyond the usual working day, recognising the variable nature of workloads and deadlines. It must also be noted that the Academy strongly recognises the fundamental importance of a private and family life, and of adequate rest and recreation.
